Duties and Responsibilities: (Essential Duties)
- Carries out all work details for the Assistant Principal for Student Affairs as requested
- Handles phone calls, mail, and correspondence associated with the office of student affairs
- Completes forms and correspondence in accordance with proper procedures
- Greet visitors and callers and handles their inquiries or directs them to the appropriate persons
- Updates an in-office bulletin board calendar with all activities for the month
- Assists the activities fair set up, prom planning/decorating, bulletin board updating, open houses, freshmen and senior picnic etc. (movement of materials/items weighing 20-30 pounds is sometimes necessary)
- Coordinates ticket sales for all student events, including, but not limited to: proms, special events, dances, plays, Baccalaureate/Graduation
- Assists with the labeling and distribution of rings at the Junior Ring Mass
- Orders faculty and student regalia for graduation
- Coordinates Junior Class Rings including scheduling Ring Assembly date, Zoom date for parents, and ring order due date from supplier
- Labels and packs graduation bags for all seniors prior to graduation practice
- Handles the ordering of replacement diplomas for alumni from Cardinal Dougherty, McDevitt, and Archbishop Wood
- Coordinates portrait picture taking including the day of the pictures. Uploads all student photos from Lifetouch to Powerschool for underclassmen
- Creates student schedules for yearbook portraits
- Arranges transportation for field trips and special events related to the school
- Issues trans passes for Septa riders including Trans passes for all students residing in Philadelphia. Coordination includes requesting confirming eligibility, ordering the Trans passes, deactivating cards as needed and creating a spreadsheet to track all active passes.
- Coordinates all transportation needs for clubs and activities
- Operates office equipment such as fax machines, scanners, copiers, phone systems and uses computers to create spreadsheets, word processing, database management and other applications
- Utilizes the Turbine electronic system to process purchase orders, expenses, and moderator stipends related to the office
- Sets up and maintains paper and electronic filing systems for records, correspondence, and other material.
Qualifications:
- High School Diploma
- At least (6) months of clerical or general office support experience or an equivalent combination of relevant education and/or experience.
Administrative Assistant to Assistant Principal Student Affairs is a 10-month position.
