The Department of Finance has an amazing opportunity for a qualified individual to join our team as an Administrative Assistant II in the Financial Institutions Bureau.  The successful candidate will enjoy learning and growing in skills and responsibilities, working as a part of a team to provide guidance and education to consumers and support for management and examiners, working independently, and being committed to safeguarding and protecting confidential information.

Job Responsibilities

  • Perform complex secretarial and office administration assignments
  • Coordinate administrative activities requiring frequent contact with executives, the public, other agencies, and government officials
  • Function independently, exercising discretion in applying policies and procedures
  • Possess extensive knowledge of department programs
  • Serve as the program expert and provide guidance and assistance regarding applicable regulations and statutes to consumers and industry
  • Independently research, analyze, and compile information to prepare reports, handle complaints, and resolve problems (knowledge of Excel's Pivot Tables and Charts useful for this)
  • Compose correspondence for supervisor on own initiative or from general instructions and format
  • Manage the tracking of projects assigned to various staff to ensure timely completion
  • Arrange meetings with staff and prepare and distribute minutes
  • Manage workload to meet tight deadlines
Minimum Qualifications (MQ’s) - Knowledge and Experience required to qualify for this position
  • Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception (typically gained by working in an office support position for at least 1 year)
  • Good knowledge of researching, compiling, and summarizing data for reports (typically gained by 3-5 years of related experience)
  • Experience interpreting, applying and explaining complex information such as regulations, policies or services (typically gained by 3-5 years of related experience)
  • Experience independently solving problems/performing liaison activities in a work setting (typically gained by 3-5 years of related experience)
  • Experience coordinating activities requiring complex arrangements (typically gained by at least 1 year of related experience)
