Position Summary

We are seeking a highly organized and detail-oriented Pre-Litigation Assistant to join our dynamic law firm in Coconut Grove. The ideal candidate will support attorneys and case managers in managing personal injury cases during the pre-litigation phase, ensuring that all cases are handled efficiently and with the utmost professionalism.

Key Responsibilities
• Client Communication: Act as the primary point of contact for clients, providing updates, gathering necessary documents, and addressing inquiries with empathy and professionalism.
• Case Management: Organize, maintain, and update client files and case documents using case management software.
• Medical Records Coordination: Request, follow up on, and review medical records and bills to ensure accuracy and completeness.
• Claims Handling: File claims with insurance companies, follow up on status, and communicate effectively to ensure timely resolutions.
• Documentation Preparation: Draft demand letters, correspondence, and other documents required during the pre-litigation process.
• Scheduling: Coordinate appointments, meetings, and case-related events, including medical evaluations and depositions.
• Administrative Support: Assist attorneys and case managers with administrative tasks, including data entry, organizing files, and preparing reports.

Qualifications
• Experience: Minimum of 1-2 years in a personal injury law firm or a related field (pre-litigation experience preferred).
• Education: High school diploma or equivalent required; associate or bachelor's degree preferred.
• Technical Skills: Proficiency in Microsoft Office Suite and case management software (e.g., Clio, Needles, or similar).
• Communication: Strong written and verbal communication skills with a client-first approach.
• Organizational Skills: Exceptional ability to prioritize, multitask, and meet deadlines in a fast-paced environment.
• Attention to Detail: High degree of accuracy in document preparation and case management.
