The Opportunity

  • Data entry of information for new hires, status changes, terminations, etc.
  • Assist with timely processing of Oracle HCM transactions.
  • Assist the HR Team with daily administrative functions, record maintenance, and provide administrative support.
  • Maintain employee files to ensure accuracy and compliance.
  • File documents into appropriate employee files.
  • Assist or prepare correspondence as requested.
  • Prepare new employee files.
  • Make photocopies; mail, scan, and email documents; and perform other clerical functions.
  • Process department mail.
  • Support other assigned ad hoc HR projects and functions.
  • Perform customer service functions by answering employee requests and questions.
  • Provide human resource policy guidance and interpretation.
  • Ensure timely and complete responses to Verification of Employment requests.
  • Ensure policy and regulatory compliance by providing reliable, accurate, and timely employee data.
  • Conduct audits of payroll, benefits, or other Human Resources programs which may include Personal Information (PI) and Assignment audits.
  • Assist with inputting employee personal and job-related data in HRIS system (e.g., changes in status, pay).
  • Assist with the preparation of the performance review process.
  • May assist with Rewards & Recognition program processing Value Vote & Thank You note requests.
  • Update employee records and follow established procedures for updating. Validating, and correcting. Confirm accuracy and integrity of all data entered.
  • Produce and submit reports on general Human Resources activity.
  • Communicate effectively with clients to ensure there are minimal follow-ups involved.
  • May assist with writing, revising, editing and/or proofreading company policies and procedures and related documents as needed. 

Required Experience and Competencies

  • One (1) or more years of Human Resources Assistant/Coordinator or related years of experience required.
  • 1-2 years of Human Resources data entry experience required.
  • Associate’s or Bachelor’s degree in Business Administration, Behavioral Science, Human Resources Management, or equivalent preferred.  
  • Human Resources certifications such as PHR, SPHR, SHRM-CP, SHRM-SCP preferred.
  • Experience in the healthcare industry preferred.
  • Knowledge of applicable local, state, and federal laws and regulations as it relates to employment law.
  • Knowledge of Vituity policies, procedures, compliance, and practices.
  • Ability to effectively use Microsoft Office Suite (Word, Outlook, and Excel).
  • Knowledge of Human Resources Information Systems (HRIS), Oracle Cloud, plus.
  • Ability to investigate and research laws and regulations and to develop implementation and messaging plans.  
  • Ability to deal constructively with conflict and use good judgment.
  • Ability to multi-task and prioritize while managing tight deadlines.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Ability to use business savvy and proactive thinking to ensure we’re anticipating needs.
  • Ability to pay meticulous attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to adapt to change working in a fast-paced environment.
  • Must be able to maintain confidentiality and be always diplomatic and professional.
  • Aptitude for providing exceptional customer service to employees, co-workers, and Partners while maintaining strict confidentiality.
  • Team player, willingness to provide support where needed to achieve outcomes.
  • Ability to work independently with minimum supervision.

We are excited to share the base salary range for this position is $22.05 -$27.01, exclusive of fringe benefits or potential bonuses. This position is also eligible to participate in our annual corporate Success Sharing bonus program, which is based on the company’s annual performance. If you are hired at Vituity, your final base salary compensation will be determined based on factors such as skills, education, and/or experience.
