Front Desk Coordinator

Front desk duties include greeting clients, answering and directing phone calls, managing schedules, and handling mail and deliveries. Key responsibilities also involve maintaining a clean and organized reception area, providing basic information, and performing administrative tasks like filing, data entry, and managing security procedures. The role is often the first point of contact, requiring strong customer service and professional communication skills.
MINIMUM QUALIFICATIONS: This position requires a GED or high school diploma. Experience working in a healthcare with a minimum of two years of experience in service provision to clients preferred. Required skills/aptitudes include customer service, problem-solving, data management along with general computer capabilities, strong communication, organization and follow-up skills.
POSITION SPECIFIC DUTIES:
- Greet and welcome visitors, clients, and customers in a professional and friendly manner.
- Act as the first point of contact and manage the flow of traffic in the office.
- Provide general information about services, location, and hours.
- Handle customer inquiries, complaints, and disputes.
- Answer, screen, and direct all incoming phone calls.
- Manage and schedule appointments and meetings.
- Handle incoming and outgoing mail and deliveries.
- Perform clerical duties such as filing, data entry, and scanning.
- Maintain office security by following safety procedures and controlling access.
- Keep the reception area clean, organized, and stocked with necessary supplies.
- Monitor office supplies and restock as needed.
- Operate standard office equipment like fax machines, printers, and copiers.
- Provide administrative and clerical support to other departments as needed.
