Position Summary

The Administrative Coordinator works collaboratively with all staff to support the mission of Nonprofit Association of Washington and represent its values when interacting with members and the community. This position is a key link in supporting the efficient and smooth day-to-day operations of the organization, providing customer service and administrative support.This role involves a combination of general administrative duties and support for the Learning team.

Key Responsibilities

1) Internal administration

  • Provide support to the Operations Director and the Executive Director, including scheduling meetings, setting meeting agendas, taking meeting minutes, phone calls, travel arrangements, and board coordination.
  • General administrative duties: drafting communications, managing mailings, preparing reports, and maintaining appropriate filing systems.
  • Customer service: respond to information requests received by phone or email.
  • Enter data and maintain accurate records in Salesforce. Work with the team to make the database more useful for NAWA staff.
  • Support onboarding new staff members by creating onboarding plans, scheduling introductory one-on-ones, and providing tutorials on NAWA’s systems.
  • Support communications by editing and proofreading promotional emails, blog posts, and other external communications.
  • Assist with conference planning and communications.
  • Special projects and other tasks as assigned.

2) Learning program support

  • Event support: setup, hosting and managing registration for learning opportunities.
  • Event logistics support: arrange catering, secure venues, purchase supplies, or other logistics needs.
  • Customer service: assist participants with learning event registration.
  • Provide email and phone coverage for Learning staff as needed.
  • Crosstrain on SurveyMonkey, Virtual PBX, Zoom, Mailchimp, SharePoint, Whova, and other skills to back up Learning staff as needed and provide IT support to participants.
  • Support program evaluation by entering and summarizing workshop feedback.

3) Contribute to a strong organization

  • Contribute to the visibility of the organization by representing NAWA at events.
  • Bring ideas from events, meetings, etc. back to the organization to contribute to our ongoing effort to understand and support nonprofits in Washington.
  • Work on special projects and participate in key events such as the annual conference.
  • Support NAWA membership: prepare reports, assist in maintaining the database, and support membership correspondence.
  • Support NAWA’s advocacy events: arrange catering, book event space and assist in data collection and maintenance.

  • Demonstrated commitment to equity and accessibility.
  • Proficiency in Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint) and experience with CRM databases, email engagement platforms, event management systems, and project management software. We currently use Salesforce, MailChimp, and Asana – equivalent transferrable skills from other systems are welcome.
  • Ability to handle multiple tasks, projects and priorities effectively and professionally.
  • Ability to travel within Washington State, on occasion.

Additional Information

Location: This is primarily a remote position

Some travel required, primarily within Washington State

FLSA Classification: Full-time, Non-exempt

Starting salary range: $57,000-$61,000

Supervisor: Director of Operations

Starting Benefits: Three weeks annual vacation leave, 12 days of sick time, and 12 paid holidays per year, plus paid office closures from Dec 26th to Dec 31st and the week of July 4th. $860/month toward a cafeteria plan of health coverage including medical, dental, and vision insurance as well as various long & short-term disability and other options. $1,200 contributed annually to a retirement plan. $50/month each ($100 total) reimbursement for use of personal cell phone and internet for work purposes. In 2026 NAWA is experimenting with a four-day work week during the summer (June 1stAugust 31), with the office closed on Fridays.

If this is successful it will become a permanent policy going forward.
