The Office Administration Coordinator plays a vital role in ensuring the efficient and professional operation of the corporate office. This position oversees the day-to-day administrative functions that support employees and leadership alike, including managing supplies and facilities, coordinating maintenance and repairs, and fostering a secure, organized, and welcoming work environment. The role also serves as a key liaison with vendors and internal teams to maintain operational excellence and continuity.
Essential Duties and Responsibilities- Serve as the first point of contact for the office by answering and directing phone calls, greeting business visitors, and maintaining the master conference room schedule.
- Manage office access cards and communicate updates to property management.
- Monitor, order, and stock office and break room supplies to ensure adequate inventory at all times.
- Submit work orders and coordinate maintenance and repairs for office space and equipment.
- Handle incoming and outgoing correspondence, including e-faxes, mail, and packages.
- Assist with planning and coordinating office relocation or renovation projects.
- Provide administrative and data entry support across various databases and corporate platforms.
- Support executives with meeting coordination, document shipping, and travel as needed.
- Manage and maintain corporate vendor accounts (e.g., UPS, FedEx, DHL, Staples, Enterprise/National).
- Perform other administrative duties as assigned to support corporate operations.

Education and/or ExperienceA high school diploma is required, as well as two to five years of related experience and/or training.
Language SkillsAbility to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.
Mathematical SkillsAbility to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning AbilityAbility to solve practical problems and deal with various concrete variables in situations with limited standardization. Ability to interpret various instructions furnished in written, oral, diagram, or schedule form.
