Accounting Administrative Assistant

Hazel Findlay is seeking a detail-oriented and dependable Accounting Administrative Assistant to join our team. This position supports the Business Office Manager with accounts payable and bookkeeping tasks, as well as assists with human resource functions.
Some responsibilities include:
- Assist with accounts payable and other bookkeeping duties.
- Perform filing and general administrative tasks.
- Assist with management of the Resident Trust.
- Receipts payments mailed or in-person including processing credit card payments.
- Open, sort, and distribute incoming mail, and prepare outgoing mail including mass mailings.
- Assist with answering the switchboard and transferring calls to the appropriate person.
- Scans in medical records into PointClickCare.
- Maintains call log for discharged resident follow-up.
- Help prepare pre-employment materials and coordinate appointments.
- Contact applicant references and support HR onboarding activities.
- Maintains filing of resident files, accounts payable and personnel files.
- Understanding of basic bookkeeping and accounting methods.
- At least 1 year of administrative, bookkeeping, or accounts payable experience required.
- Strong organizational skills and attention to detail.
- Comfortable working with computers, office software, and online systems.
- Proficiency in MS Word, Excel and knowledge of Sharepoint/One Drive.
- Ability to handle confidential information with professionalism.
- Strong communication and customer service skills.
- Adaptability, judgement and problem-solving skills.
- Confidence to take initiative and work independently with a positive mindset.
- Proficient in oral and written communication in English.
