Project Support Specialist

Come join our team DENTAL ADVISOR has over 300 Clinical Advisors Nationwide, a State-of-the-art Biomaterials Research Center in Ann Arbor, MI, and has supported the dental profession as an independent, third-party research organization reporting evidence-based data relating to clinical and laboratory properties of dental products and equipment for over 42 years.
The Project Support Specialist supports both operations and clinical activities with a strong focus on project management and ownership of timelines. This cross-functional role serves as a key liaison between internal teams, clinicians, and customers. The Specialist ensures that projects stay on track, status updates are clearly communicated, and deliverables are met. Success in this role requires excellent collaboration, organization, and prioritization skills, as well as the ability to manage multiple projects simultaneously in a fast-paced environment.
ESSENTIAL DUTIES and RESPONSIBILITIES Project & Evaluation Coordination- Act as the primary point of accountability for assigned projects, ensuring timelines, milestones, and deliverables are met.
- Track and update project statuses, proactively communicating progress and roadblocks to internal and external stakeholders.
- Receive, log, and track clinical evaluation products in CRM.
- Pack and ship materials to clinicians and advisors while maintaining accurate records.
- Coordinate logistics for materials such as products, teeth, and bio samples.
- Collect and consolidate evaluation data, survey responses, and assist with report generation.
- Maintain project dashboards and documentation to ensure visibility across teams.
- Respond to customer requests via phone, email, and CRM ticketing system.
- Manage incoming calls, form submissions, and support tickets, creating follow-up tasks and escalating issues as needed.
- Collect and document sales inquiries and customer feedback to support continuous improvement.
- Maintain digital records, subscriptions, and file organization.
- Create digital surveys and ensure timely distribution and follow-up.
- Oversee incoming and outgoing shipments with accountability for deadlines and accuracy.
- Maintain precise inventory tracking across product lines.
- Take corrective action when issues arise in shipping or inventory processes.
- Support logistics for pre-market studies and long-term clinical projects.
- Perform accurate data entry and maintain consultant and customer databases.
- Prepare internal documentation, reports, and correspondence.
- Support cross-departmental administrative needs and special projects with attention to timelines and prioritization.
- Other duties as assigned.
Required:
- Strong project management skills, with proven ability to track and manage multiple projects to completion.
- Excellent organizational and time management abilities, with the ability to prioritize effectively.
- Strong attention to detail and proactive communication style.
- Collaborative mindset with strong verbal and written communication skills.
- Comfortable in a fast-paced, multitasking environment.
Technical Skills:
- Proficiency in Microsoft Office Suite.
- Experience with CRM systems (HubSpot preferred).
- Familiarity with survey tools (e.g., SurveyMonkey).
- Comfort with file management, digital systems, and online platforms.
Preferred:
- Bachelor’s degree.
- Dental industry experience (dental assisting a plus).
- Knowledge of project management tools (e.g., Asana, MS Project, hubspot).
