The Coordinator, Construction Services will play a key role in supporting the special projects construction team by providing essential administrative and operational support for the successful execution of remodels and other system-wide rollouts/projects for company cafes. This role ensures seamless coordination between construction teams, vendors, designers, and café management to keep the project on time, on budget, and aligned with design and operational standards.

This position is hybrid and requires three days a week at our Newton, MA offices.

Duties & Responsibilities

  • Coordinate daily activities and schedules related to the cafe remodel project.
  • Assist in maintaining project documentation including contracts, approvals, permits, drawings, and schedules.
  • Prepare reports, schedules, and meeting minutes as required by project managers.
  • Review general contractor billings and supporting documentation for compliance with Panera standards.
  • Support change order processes, RFIs, and submittals.
  • Respond to queries from contractors and internal teams in a timely and professional manner.
  • Track progress against timelines, report delays, and assist with adjusting schedules as needed.

Qualifications (Education & Experience)

  • Bachelor’s degree preferred.
  • 1–3 years of experience in an administrative or coordination role, preferably in the construction or engineering industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with construction software Procore preferred.
  • Strong organizational and time management skills.
  • Ability to work in a fast-paced, deadline-driven environment.
  • Excellent verbal and written communication skills.

Salary: $62,874-$88,024
