Our campus is located at 1601 Maple Street, Carrollton, GA 30118.
Faculty and staff members are expected to be physically present on campus as needed to support the in-person educational experience and on-campus vitality at the University of West Georgia. Depending upon teaching assignments and student demand, this could include the Carrollton or Newnan campuses.
Job Summary
This person reports to and manages the budget for the Tanner School Of Nursing, including; summer school, student scholarships, grants and foundation budgets. Responsible for oversight of all personnel functions for the TSON, including submission of all hiring documents, including Personnel Action Requests and Budget Amendments. This position is also responsible for oversight of the daily operations of the Dean's office, oversees all business matters of the TSON, including MOUs with clinical partners. This position has p-Card responsibilities and therefore is required to successfully pass a credit check.
Responsibilities
Budget Management and Oversight: - 45
Coordinate, plan, prepare, allocate, and verify funds for the School of Nursing annual operating budgets, personal services budgets, budget amendments, and summer school budgets, student scholarships, grants and foundation accounts. Advise and assist School of Nursing Dean in financial matters relating to budgetary process. Serve as primary liaison to other administrative units within the university involving financial matters. Develop, facilitate, and enhance School of Nursing financial policies, procedures, and paperwork encompassing internal accounting, databases, and control systems related to the management of general operation of the School of Nursing in compliance with university and BOR policies and procedures. Analyze actual expenses; maintain systems related to budgetary control; prepare management reports, budget amendments, and financial analysis. Manage and monitor the reconciliation of general ledger accounts, financial affairs, funding sources, personnel funding, departmental expenditures, and reimbursements; approves expenditures based on available funding. Determine the School's end-of-year sweep fund; summarize Dean's request for end-of-year and capital projects and other information requests from the Dean or VPAA. Assist in the coordination and resolution of budget discrepancies.
Human Resources: - 25
Responsible for all processing aspects for HR for the SON. Create, analyze and implement systems to manage faculty records including independent interpretation of BOR, CCNE, BON and SACS policies. Oversee databases for the School. Keep track of promotion/tenure dates, renewals for nontenured faculty, post tenure review dates, and separation actions. Coordinate and analyze funds for faculty and staff hires . Track and manage all faculty and staff positions. Assist departmental staff as needed with database of student information. Oversee records management and retention activities. Verify credentials and documents for new faculty and staff. Collaborate with Human Resources and Provost Office to provide assistance to administrative staff and dean, associate dean and program directors on solving complex issues. Distribute instructions for promotion/tenure forms along with timetable for promotion and tenure considerations. Send dean notice of upcoming deadline for renewal notices providing faculty lists and advance warning of faculty non-renewals. Maintain knowledge of UWG and BOR policies on faculty.
Conduct workshops for departmental staff on SON polices and procedures. Provide information to search committee for recruiting faculty.
Deans Office and Special Projects: - 30
Assist Dean and Associate Deans, and other department staff in day-to-day operations of the school and special projects or initiatives including various activities aimed at strengthening relationships with our community, clinical , alumni and other partners.

KNOWLEDGE
Understanding of accounting and budgetary rules, proficient with Excel spreadsheets, detail oriented and good organizational skills.
Knowledge of and demonstrated ability with MS Office software suite, particularly Excel and Word.

Must be a good self-manager and possess the ability to work independently. Good communication skills and the ability to relate to university and external entities.

Special Applicant Instructions
This person serves as the internal budget manager and custodian of personnel records for the SON. This person also makes independent decisions using judgment and discretion. Errors can result in damage to UWG and SON reputations, inaccurate expenditures
and reimbursements, and delays in personnel hiring and compensation. Competency in the management of MOUs is critical to nursing education; failure to maintain contracts with clinical partners will result in the loss of needed clinical learning environments for students. Development and maintenance of functional electronic databases are required to ensure effective decision-making/reporting related to students/faculty, accreditation, and BOR.
Maintains the discretionary and University budgets for the School of Nursing including operational, personnel services, summer school, student scholarships and foundation account budgets; prepares budget analysis and planning documents and advises on funds allocations; negotiates with contractors for SON purchases of equipment, furniture, and promotional items; initiates and prepares personnel forms required for employment of all new and part time faculty and staff, graduate assistants, and student assistants; prepares budget amendments and oversees School administrative assistance staff.
