Location: This is a full-time position located in Augusta.

Core Responsibilities:

You will serve as an office associate for the Infectious Disease Epidemiology Program supporting the monitoring and control of Notifiable Conditions. You will assist with answering phone lines, intake of disease reports, documenting consults, entering laboratory reports, following up on incomplete reports, filing, and billing. You will ensure the office runs smoothly by assisting with meeting scheduling, opening and sorting mail, making copies, filing, and providing coverage for the Maine CDC reception area.

You will also:

• Assist in answering the disease reporting and consultation line

• Help process bills for payment

• Ensure program files are up to date

• Plan and execute program mailings

• Collate and distribute mail

• Coordinate scheduling of meetings and room reservations

• Provide support for the Epidemiology team with data entry needs

• Make calls to medical provider offices to verify data

Minimum Qualifications:

To qualify for this position, you must have training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a solid knowledge of modern office practices to perform complex, varied office support tasks, and 2) the ability to use independent decision-making on the appropriate processes to follow, information to process, and actions to take in accordance with standard procedures. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, and Office Associate I.

Preferred candidates will also have:

• Strong interpersonal skills including experience providing quality customer service by phone

• Organization and prioritization skills

• Strong writing skills including spelling and alphabetizing

• The ability to establish and maintain effective working relationships with a diverse group of internal and external partners

• Medical records and/or medical billing experience

• Computer skills, including knowledge of the Microsoft Suite

• Pleasant attitude and ability to represent Maine CDC in a positive manner
