Responsibilities

This position is responsible for performing responsible administrative duties to a mid-sized to large organizational unit. This position performs a full range of procedural duties in administrative support of office activities. This position may support one or more managerial staff.

  • Coordinates a department's/unit's administrative processes by serving as a primary point of administrative contact and liaison with other offices, individuals and external constituents and agencies on a range of issues; organizes and facilitates meetings, conferences and other special events as assigned.
  • Provides administrative assistance and support to the assigned organizational managerial staff.
  • Composes and edits internal and external correspondence and documents.
  • Maintaining organizational databases updated with necessary information and be able to run and analyze reports from those databases.
  • Collects, reviews, and analyzes data and prepares reports, charts, budgets, and other presentation materials utilizing word processing, spreadsheet, or specialized software.
  • Assists in the execution of long-term projects.
  • Coordinates the scheduling of projects, special events, operational programs that require coordination with multiple constituents (both internal and external).
  • Responds to routine and non-routine inquiries requiring organizational/unit knowledge.
  • Coordinates appointments, meetings, and travel itineraries, triages scheduling issues.
  • Serves as a payroll timekeeper.
  • Performs routine office administrative functions including handling administrative details such as mailings, expense tracking, reporting messaging and preparing of data in a number of formats.
  • Work with a team or independently on special projects/committees as assigned.
  • Processes routine paperwork as required.
  • Any related duties as assigned.


Qualifications

Education:

High School Diploma or Equivalent. Associate degree in Business Administration preferred.

Experience:

At least four years of experience providing administrative support/office management to a large/complex organizational unit.

Any combination of education, training and experience that has supplied the necessary knowledge, skills and experience to perform the essential functions of the job.

For applicants who will perform this position in New York City or Westchester County, the proposed hourly salary is $$29.00/ hr. to $31.00 /hr.

For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant's skills, job-related knowledge, and experience.

Unless otherwise specified, all posted opportunities are located in the New York or Greater Tri-State office locations.
