Under the general supervision of the Office Services Supervisor I, the Office Assistant's primary duties include PROCESSING TRAFFIC COLLISION REPORTS:
a) Responsible for daily photocopying and routing of Traffic Collision Reports to Headquarters and Allied Agencies in accordance with departmental policies.
b) Receives incoming mail requests for Collision Reports. Locates correct reports, review proper party requirements, prints and mails reports on a daily basis.
c) Completes receipts.
e) Maintains Collision Report files. Responsible for purging of Collision Report files on a quarterly basis after retention periods.
Serves as backup to the timekeeper CHP 415 Clerk; provides backup coverage to other clerical positions as needed.; processing various forms with regard to court reports (subpoenas, accident reports, crimes on State Property forms, etc.) and providing copies of the reports when requested by authorized individuals. Other functions include answering telephones, screening calls and directing telephone calls to specific personnel; assisting with visitors at the front counter; monitoring projects and case work utilizing a Project Tracking Log.
PROCESS PHOTOGRAPH REQUESTS:
a) Receives and processes requests for photographs, including copying photos to discs and sending them to the appropriate recipient.
b) Receipts monies for photographs and coordinates with requesters the dollar amounts needed in order to process requests.
c) Maintains photograph files and purges after retention period.
d) Reconcile cash box daily for front office receipts.
GENERAL CLERICAL SUPPORT:
a) Assigned to the front counter responsibility for greeting the public.
b) Provides relief at public counter when necessary. Answering and routing of incoming calls.
c) Assists to resolve the public's questions regarding collision reports, towed vehicles, citations, arrests and general information.
d) Facilitates sales of traffic reports, arrest logs, photographs, and publications. Ensure items sold are only released to a proper party of interest.
e) Process and submits quarterly supply requisition to Supply Services Unit.
PROVIDE BACKUP SUPPORT TO ALL CLERICAL AREAS AND PERFORM RELATED DUTIES AS ASSIGNED OR REQUIRED.

The work hours for this position will be Monday-Friday, 8:00 AM - 5:00 PM.
