Position OverviewResponsible for handling front office reception and administration duties, including greeting guests and offering them a beverage, answering phones, handling company inquiries, and sorting and distributing mail. Key Responsibilities (Essential Duties and Functions)Answer telephone, screen and direct callsTake and relay messagesProvide information to callersGreet persons entering organizationDirect persons to correct destinationDeal with queries from the public and customersEnsure knowledge of staff movements in and out of organizationMonitor visitor access and maintain security awarenessProvide general administrative and clerical supportReceive and sort mail and deliveriesSchedule appointmentsOrganize conference and meeting room bookingsCo-ordinate meetings and organize cateringMonitor and maintain office equipmentControl inventory relevant to reception areaTidy and maintain the reception areaPerform additional assignments per supervisor’s direction. QualificationsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/ExperienceHigh school diploma generally requiredKnowledge of administrative and clerical proceduresKnowledge of computers and relevant software applicationKnowledge of customer service principles and practicesMust have excellent alpha/numeric data entry skills.Able to read and/ or follow written and verbal instructions and implement the same. Knowledge/Skill RequirementsExcellent computer skills using MS Office (Word and Excel), e-mail and an attitude for learning new software.Ability to interact with all levels of the organization.High ethical standardsExcellent communication skills (both oral and written).Excellent computer skillsAbility to meet individual deadlines, as well as work collaboratively with team to help them meet deadlines. Physical RequirementsThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.Able to communicate with others by telephone and in person.Able to utilize a computer for word processing, e-mail communication, and preparation of documents and presentations.May require sitting for extended periods of time.May require periodically lifting objects up to 30 lbs.
