The final date is to be determined.Questions should be directed to: Cat WongAssociate Director, Facilities & Operations Posting Number 20161662STD Department Summary The Reservation and Events Graduate Assistant with Well-Being and Recreation provides support and guidance through the reservation and scheduling process of each of Well-Being & Recreation facilities and special programs to ensure consistent and exceptional service, provide patrons with a quality experience and continue a commitment to customer communication and engagement. The Reservation and Events Graduate Assistant will assist in reservations and rentals for a variety of populations including Community users, Reoccurring Private Renters, University Departments, Intercollegiate Athletics, Student Orgs, Campus and Conferences, and all Well-Being & Recreation areas. Reservation/Scheduling Management and Communication: Work alongside the Reservation and Events team to provide outstanding customer service by providing administrative leadership and support related to facility scheduling and reservations for all OHIO Well-Being and Recreation facilities (Aquatic Center, Bird Ice Arena, Challenge Course, Golf & Tennis Center, Ping Recreation Center and Walter Fieldhouse) and special programming. Communicate and work with department staff to accommodate internal scheduling requests utilizing DSE software. Assist in inputting reservation information for special events and community rentals and directly oversee the billing and invoicing process. Ensure all rental groups have necessary equipment and rental items for each event. Understand and enforce departmental policies related to event reservations and scheduling to ensure department compliance. Events: Assist in the day-to-day set-up of on-site events as well as the long-term planning and execution of large departmental events. Coordinate special event collaboration with the entire department to ensure engagement and interaction from all building staff. Oversee a group of student staff that will ensure the daily events are set-up and prepared for incoming members. Serve as an on-site coordinator when necessary and provide special event coverage when necessary (weekends and events required). Teamwork & Supervision: Assist in the recruitment, hiring, supervising and training of the Reservation & Events student staff that will assist with facility scheduling and reservation, set-up, event management, tear down and organizing equipment for special events. Provide student leadership and guidance, promote teamwork, and assist in developing staff. Maintain positive relationships with all Well-Being & Recreation staff to assist in reservation needs and contribute to the development of the department. Job Profile Duties/essential functions may include, but not be limited to, the following:Engages with students and contributes to the growth and development of various aspects of the Ohio University experience, including student engagement, student leadership, student conduct, well-being and recreation, academic success, and campus life. Responsibilities may include supporting student government, developing student fitness and recreation programs, coordinating student events, providing student academic support, and providing administrative support to departments across the University. Level Summary Provides specialized assistance in academic or administrative tasks, leveraging advanced knowledge in a particular subject area. Supports faculty, researchers, or departments in a variety of ways. Supervisory Responsibilities: May supervise undergraduate students. Fiscal Responsibilities: May assist in managing small budgets for research projects or departmental activities. Problem Solving: Handles complex, field-specific problems that require critical thinking and independent analysis. May require guidance for highly specialized or unfamiliar tasks, but able to handle day-to-day challenges independently. Independence of Action: Works independently on assigned tasks but may consult with faculty or staff for major decisions. Communication and Collaboration: Regular communication with faculty, supervisors, and peers. Collaborates with academic and administrative peers, faculty, and staff and participates in meetings or discussions to further research or projects. May interact with students, colleagues, or clients in academic settings. Minimum Qualifications Bachelor’s degree required. Must be a graduate student currently enrolled in an Ohio University academic program. Must have strong research, writing, and communication skills. Preferred Qualifications Experience in reservations, events, facilities management and/or projectmanagementMust maintain a GPA Knowledge and experience supervising staffStrong communication and team management skillsSound judgment, leadership and experience in conflict managementProficient in Microsoft Office Working Condition/Physical Demands: This role is primarily desk-based and involves extensive use of desktop computers.
