Job Summary:

The Office and Business Development Coordinator will support business development and construction project estimating duties, as well as manage corporate office operations, accommodations, and travel logistics. This role offers continuous mentoring and training, with responsibilities spanning administrative functions, vendor management, and project support.

Responsibilities of this Position:

Business Development and Estimating:


• Manage bid invitations.


• Administer requests for proposals, document reviews, and addenda tracking.


• Review and process bid search engine reports.


• Maintain the CRM system and bidding calendar.


• Handle pre-qualification duties and maintain submission history.


• Administer conference attendance, including registration and reservations.


• Maintain estimating policies and standard operating procedures.


• Attend training to develop relevant knowledge and skills.


• Ability to read and interpret drawings, specifications, and RFPs is preferred.

Office Operations:


• Plan and coordinate office-wide facilities maintenance, space planning, and equipment installations.


• Oversee procurement of office equipment, machinery, furnishings, and supplies.


• Coordinate renewals of company licenses, credentials, and office access.


• Manage maintenance and repair of buildings, machinery, and equipment.


• Handle temporary housing for office and project staff and manage corporate leases.


• Manage rental, service, and documentation for all rental vehicles


• Manage travel logistics for project sites and support Concur System administration.


• Support various internal workflows such as purchase order requisitions and expense reports.


• Train team members on travel expense guidelines and reporting.


• Report monthly travel expenses by cost center and ensure policy compliance.


• Manage accounting of credit card and travel expenses within the ERP system.


• Manage office and offsite document depository.


• Support organization of onsite and offsite meetings.


• Perform other duties as assigned.

Required Skills/Abilities:


• Excellent verbal and written communication skills.


• Strong mathematical, analytical, and organizational capabilities.


• Ability to read and understand construction drawings/documents.


• Proficient with Microsoft Office Suite or related software.


• Exceptional interpersonal and problem-solving skills.


• Ability to work independently and as part of a team.


• Availability for occasional travel.

Education and Experience:


• Associate's or Bachelor's degree in Construction Management, Business Administration, or a related field preferred.


• 0-3 years of related experience in business development, estimating, or office management.

Physical Requirements:


• Prolonged periods sitting at a desk and working on a computer.


• Must be able to lift up to 15 pounds at times.
