Job Title: Office AdministratorLocation: Westford, MAEmployment Type: Full TimeReports To: PresidentJob SummaryWe are seeking a reliable and detail-oriented Office Administrator with a strong background in Quickbooks to join our team. This role is crucial in ensuring smooth day-to-day operations of the office by providing administrative support, coordinating office activities, and maintaining a productive work environment. The ideal candidate is organized, proactive, and capable of multitasking in a dynamic environment. Key ResponsibilitiesServe as the first point of contact for employees, clients, and vendors.Manage office supplies and inventory; place orders as needed.Maintain filing systems (digital and physical) to ensure records are accurate and up to date.Coordinate office maintenance and liaise with facility management vendors.Schedule meetings, appointments, and travel arrangements.Assist in preparing reports, presentations, and correspondence.Support bookkeeping and budgeting procedures as needed.Ensure compliance with office policies and company procedures.Organize company events, team-building activities, and training sessions.Handle incoming mail, emails, and phone calls in a timely and professional manner. Requirements and SkillsProven experience as an office administrator, office assistant, or relevant administrative role.Proficiency in QuickbooksProficiency in MS Office (Word, Excel, Outlook, PowerPoint).Familiarity with office management tools (e.g., ERP systems, Google Workspace) is a plus.Strong organizational and time-management skills.Excellent written and verbal communication abilities.Attention to detail and problem-solving skills.Ability to work independently and collaboratively.High school diploma required; a degree in Business Administration or a related field is preferred. Working ConditionsOffice hours 7:30 am to 3:30 pmJob is on site in Westford, MAFast-paced and collaborative team environment. Compensation and BenefitsHourly compensation $22 to $28 dependent on experienceHealth insurance, 401K, 1 week of PTO and paid holidaysBenefits are available after 90 day probationary period
