Job Title: Food & Beverage Coordinator IIIShift: Day Location: Casino Arizona Department: Food & Beverage Reports To: Food & Beverage Manager and/or Executive Sous Chef Summary Provides administrative support to Food & Beverage management in the coordination of daily expenses, purchases and labor, compared to budgets, in the Food & Beverage Department. Supervisory Responsibilities This job has no supervisory responsibilities. Essential Duties and Responsibilities include the following. Other duties may be assigned. Prepares purchase order requests for F&B Management personnel.Answers telephone, types correspondences and provides secretarial support to F&B Manager(s).Schedules and attends meetings and takes minutes. Contacts managerial and staff personnel for collection of data, statistics and reports, in a timely manner.Organizes monthly calendar on a daily basis.Orders office supplies.Processes PTO requests for F&B personnel.Prepares reports for management that correlate appropriations for specific programs with appropriations for divisional programs and includes items for emergency funds.Reviews operating budgets, as supplied by management periodically, to analyze trends affecting budget needs and to report findings back to management.Tracks daily purchases and labor.Prepares daily spreadsheet for management review.Consults with unit heads to ensure adjustments are made in accordance with program changes in order to facilitate long-term planning.Reviews expenditures of department to ensure compliance with budget.Collects and maintains records of actual operating expenses to compare with estimated budget for review by management.Prepares regular and special budget reports for management to interpret budget directives and to establish policies for carrying out directives.Prepares comparative analyses of operating programs by analyzing costs in relation to services performed during previous fiscal years and submits reports to Food & Beverage Director with recommendations for budget revisions.Responsible for maintaining up-to-date knowledge of Credit Card Compliance requirements commonly known as PCI (Payment Card Industry) Compliance by attending training provided by Casino Arizona, at least once a year or more if required by management. Signature verification of course attendance will be required. Responsible for following the PCI (Payment Card Industry) Compliance regulations to protect card holder data and adhere to the standards to protect guests’ private card information. This includes, but is not limited to, observing and reporting inappropriate card handling activity, of either customers or by employees, as defined by PCI. Education and/or Experience High school diploma or general education diploma (GED) required; Associate's degree (AA) or equivalent from two-year college or technical school preferred; one year related clerical or administrative experience and/or training required; and/or equivalent combination of education and experience. Computer Skills To perform this job successfully, an individual should have strong PC skills and a thorough knowledge of Microsoft Office applications particularly Excel. Strong knowledge of POS Systems (InfoGenesis) required. Other Qualifications Must have the ability to apply advanced mathematical concepts, identify and define problems, collect data, establish facts and draw valid conclusions. Must be able to present information and respond to questions from groups of managers, clients, customers and the general public. Must have strong communication and administrative skills. Must be able to get along well with co-workers and be a team player. Language Skills Must be able to read, write, speak and understand English. Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to walk; use hands and fingers to handle or feel; reach with hands and arms and talk or hear. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Work Environment The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is regularly exposed to secondary smoke. The noise level in the work environment is usually moderate.
