SUMMARY

The Admission Coordinator will serve as a member of a team of committed professionals responsible for recruiting and enrolling a highly talented and diverse incoming class, with the goal of enriching the quality of intellectual engagement, student life, and the diversity of the Webb community. This position will provide key operational support and oversee a wide range of administrative functions within the Admission Office.

RELATIONSHIPS

The Admission Coordinator reports directly to the Director of Admission and Financial Aid. This position interacts with administrators, faculty, staff, students, parents, and prospective students and families.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Must be able to successfully perform the following duties as assigned and necessary:

Front Office Operations and Visit Programs

  • Create and maintain an atmosphere of positive customer service relations by coordinating aspects of tours and visit programming in collaboration with admission counselors.
  • Greet prospective families, visitors, and appointments arriving on campus in the Admission Office.
  • Act as the primary contact for the Admission Office. This includes answering, screening, and directing phone calls appropriately.
  • Assist staff with recruitment and school events (i.e., receptions, open houses, etc.)
  • Arrange visits for prospective students including, but not limited to interviews, tours, and meetings with staff or faculty members. Answering phone and email questions regarding planned visits.
  • Assist Admission Counselors with the scheduling of Admission Ambassadors and Fellows for tours and special events.
  • Create and maintain visitor interview schedules within the CRM database in an accurate and timely manner.
  • Schedule and confirm appointments for the admission counselors with consultants, schools, or other organizations associated with the recruitment efforts.

Admission Operations, Technology and Application Support

  • Provide a confidential and professional environment when handling sensitive information regarding applicants and their families, trustees, administrators, faculty, staff, students, and the schools’ community.
  • Enter data into Slate CRM system and maintain inquiry and applicant records.
  • Assist with managing application materials received from applicants.
  • Scan and import documents into Slate CRM system.
  • Process, receive, and sort all admission mail.
  • Manage the Admission email account.
  • Assist with budget, invoices, and credit card reporting.
  • Maintain and coordinate Admission Office calendar of events.
  • Serve as DSO (Designated Student Official) to provide administrative support for Webb’s I-20 program.

EDUCATION AND EXPERIENCE

High School Diploma required; college degree preferred, with a minimum of two years' experience in admission, recruitment, education, public relations, or marketing.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent communication skills, both verbal and written are a necessity.
  • Self-started, ability to work independently and make sound decisions with flexibility/adaptability and a calm demeanor.
  • Experienced in working with diverse constituencies.
  • Highly organized, accurate, efficient, and demonstrate high attention to detail.
  • Ability to work well under pressure, be responsive to deadlines, work well in a team environment, and manage several projects simultaneously.
  • Proficiency with Microsoft Office Software (Word, Excel, PowerPoint), and Zoom Video Communications.
  • Experience with Slate database preferred.

OTHER REQUIREMENTS

A current California driver's license with a satisfactory motor vehicle record is required. A criminal background check must be successfully completed before employment can begin.

COMPENSATION PHILOSOPHY

Anticipated pay hourly range: $25.00 - $28.00/hour
