Job Summary:

We are seeking a highly organized service coordinator to join our team at Christman Pool Service. The service coordinator will oversee service operations as they relate to pool maintenance, openings, equipment installations, weekly service visits, repairs, winterizations and the corresponding scheduling and administrative work. Strong organizational skills, a commitment to delivering high level customer service and maintaining client relationships is paramount. The service coordinator is responsible for managing the team of technicians to ensure operational efficiency and service performed at the quality we have become known for.

Main duties and responsibilities:

Service Coordination:

  • Must become proficient with service and dispatch software.
  • Schedule and assign daily tasks to technicians to include pool openings, service calls, weekly service visits and winterizations.
  • Dispatch and track all service requests, to include maintenance, repairs and installations.
  • Optimize all routes and schedules for technicians to reduce travel time and ensure day to day efficiency.
  • Ensure service calls, and requests for work are handled promptly.
  • Ensure completion, job resolution and proper billing of all work orders.
  • Collaborate with technicians, ensuring that each job is properly assigned based on technician expertise, location, and availability.
  • Ensure technicians have the necessary information regarding the specific job to streamline preparedness and expected time on site.

Customer Service:

  • Serve as the main point of contact for customers, addressing inquiries, providing information on services and resolving any service related issues or concerns.
  • Maintain accurate customer account records, including billing information, contact information and payment information.
  • Have direct customer communication to schedule jobs, ensure satisfaction of completed jobs, and address any needs or reasons for follow up visits.
  • Handle customer complaints, rescheduling appointments, unexpected changes in service visits and general problem resolution.
  • Customer retention is vital; manage relationships and assure high quality service

Process Improvements:

  • Identify areas for improvement
  • Streamline operations to improve efficiency
  • Track and report on performance indicators and customer feedback
  • Service process and performance can always be improved. This is a broad scope to include fundamental use of technology, customer contact services, customer satisfaction, and our implementation of onsite work

Team Management:

  • Supervise and mentor the team of technicians. Hiring, training and performance evaluations, along with regular team meetings.
  • Create a positive work environment to shepherd a productive and collaborative team
  • Ensure company standards are met policies are followed
  • Ensure job site and drivers’ safety policies are followed
  • Quality control; to include vehicle inspections for cleanliness, proper chemical storage and tool maintenance.

Continued education and improvement:

  • Stay up to date on industry trends, newest technologies and best practices.
  • Implement procedural improvements where applicable
  • Continued education leads to technician growth. On-site and off-site trainings will be a requirement for all employees where feasible.

Application Qualifications:

  • High school diploma; relevant certifications, i.e. CPO preferred.
  • Prior experience in a similar role
  • Valid driver’s license and reliable transportation.
  • Skills:
    • Exceptional organizational skills
    • Expertise in scheduling
    • Excellent proficiency with software to include Microsoft word, excel, outlook and more.
    • Strong leadership abilities.
    • Excellent problem-solving and decision-making skills.
    • Outstanding communication.
    • Ability to manage multiple tasks and prioritize effectively

Working Conditions:

  • Primarily office based
  • This position will require on-call duties
  • Seasonal weekends and extended business hours
