Position Purpose

· To assist the Property manager with overall management of the Property.

· To receive callers, in person and by phone who have business with the Property.

· To maintain the orderly flow of paperwork in and through the management office.

· Staff will report to the Assistant Manager when the Property Manager is not present.

Nature & Scope

1. Corporation Files and Records

a. Maintain correspondence, reports, and record files.

b. Clerical work as directed by the Property Manager.

c. File member/resident paperwork and miscellaneous paperwork as needed.

2. New Applicants

a. Give initial information and applicants to prospects. Furnish prospects with brochures, floor plans, and all other available marketing material.

b. Interview prospective residents.

c. Show available units.

d. Schedule time to complete application.

e. Assist Manager in maintaining records of available units including taking and entering notice to vacate by existing members.

f. Process credit and criminal background reports.

g. Process verifications for applications.

h. Track all phone calls and visitor traffic in Onesite software.

i. When applications are complete, refer file to the Property Manager for final office approval before sending to the Membership Committee.

3. Member Relations

a. Greet visitors and members who come into the Management/Sales office.

b. Handle all telephone calls as appropriate.

c. Address membership concerns as appropriate referring to Property Manager when appropriate or necessary.

d. Compose the monthly calendar to membership and distribute no later than the 1st of each month.

e. Encourage and maintain pleasant, mutually satisfying relations between the employees, managing agent, and members of the Property.

f. Explain the Occupancy Agreement content and pertinent rules and regulations.

g. Explain member’s personal responsibility to their unit and to the Property.

4. General

a. Process incoming and outgoing mail.

a. Ensure the office, business center, clubhouse, and any vacant units are in excellent condition.

b. Clean, vacuum and dust as needed.

c. Assist in the preparation of the monthly management report as needed (collect data).

d. Assist Property Manager as assigned by Property Manager or Regional Manager.

5. Specific

a. Posting of monthly housing charges (shares with Property Manager).

b. Monthly fees posted and deposits to bank daily (shares with Property Manager).

c. Prepare and present competitive property and market analysis to management on monthly basis.

d. Sending backup information about deposits to the corporate office on a monthly basis.

e. Advance date in Onesite each morning.

6. Delinquencies

a. Post ten day notices on the 11th of the month.

b. If payment has not received by the specific date, file will be forwarded to the attorney for eviction.

c. NSF checks- When an NSF check is received, a letter shall be sent to the member immediately and will be considered delinquent and will be processed accordingly.

7. Certified Occupancy Specialist Preferred. Will pay for certification training.
