We are looking for an Office Associate to handle the front desk, greet visitors, manage other office responsibilities. Join a fun team
The Office Associate is a front desk position to greet visitors. Handle all incoming mail, ensure the office has the necessary supplies, provide proper mailing of envelopes, packages for the Post Office and other delivery services. This position is classified as non-exempt.
Responsibilities:
● Answering the phone and directing calls to appropriate departments
● Assisting as much as possible to tenants or prospective tenants on the phone to reduce the number of call transfers to property management team
● Assisting with the general company email and forwarding emails to the appropriate departments
● Maintaining mail and package logistics, including collecting/sorting mail from external PO boxes, sending certified mail at the post office, shipping packages, and making deliveries/pickups.
● Making sure the entire office is kept clean and organized (including but not limited to conference rooms, kitchen, printer room, office files, general office space).
● Maintaining recurring office services such as delivery of office supplies, food, water and any other service provided by 3rd party companies
● Maintaining office supply inventory, ensuring adequate stock levels for kitchen, printer room, and any other general office supplies
● Assist in property and employee onboarding and offboarding processes
● Inputting checks and certified mail into the respective trackers in company database
● Printing payroll stubs from the accounting department and mailing out
● Making sure all paychecks that are delivered to the office are properly signed by the accounting department and safely secured until staff picks up from the office
● Emailing and mailing weekly correspondence to 3rd party management services
● Any projects that OPS, Renewals Dept, or PM's give
● Maintaining resident portals and assisting in setting up with residents directly
● Sending out monthly rent statements
● Working with the social committee to assist in office events
● Creating receipts for any residents that drop off rent checks
● Greeting clients, tenants, etc and placing them in the lounge area
● Ad hoc tasks
Qualifications, Characteristics & Other:
● Minimum 3+ years of customer service or administrative experience
● Excellent organizational and time management skills
● Ability to build rapport with colleagues, tenants, and clients
● Ability to multitask and prioritize
● Excellent written and verbal communication skills
● Punctual/Reliable/Professional
● Positive attitude
● Strong attention to detail
● Proactive vs reactive
● Strong overall character
Hours are 9:00 a.m. - 5:00 p.m.

The annual salary is between $60,000 - $65,000 (depending on work experience)
