Job Description: Office & Finance Manager (Part-Time)
We are looking for a dynamic and organized individual to join our team as a part-time Office & Finance Manager. This multifaceted role requires strong financial expertise, excellent organizational skills, and a commitment to exceptional service delivery.
Responsibilities:
Accounting & Accounts Receivable:
- Generate and send invoices for tuition and other fees for each student.
- Prepare and manage student contracts.
- Process payments and apply them to the respective accounts.
- Issue reminder invoices and follow up on overdue accounts.
- Maintain checking and savings accounts, ensuring accurate payment processing.
- Deposit funds at the bank regularly.
Accounts Payable:
- Review and process all vendor invoices for accuracy and timely payment.
- Evaluate vendors to ensure compliance with service and pricing standards.
- Maintain organized Accounts Payable records for future reference.
Human Resources:
- Prepare and manage employment contracts for all staff members.
- Verify documentation and ensure all required HR forms are submitted.
Payroll:
- Set up new employees and maintain accurate records for existing staff.
- Process payroll efficiently and accurately.
Additional Duties:
- Handle phone inquiries related to financial matters and provide information on school tuition.
- Order and manage office, maintenance, and janitorial supplies.
- Assist parents with payment and tuition-related inquiries (customer service).
- Order uniforms as needed.
Requirements:
- Previous experience in accounting, finance, HR, or office management roles.
- Proficiency in accounting software (QuickBooks) and Microsoft Office Suite.
- Strong attention to detail and commitment to accuracy.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize effectively.
- Dedication to maintaining confidentiality and integrity in all work.
