Legal Assistant to the Managing Partner

The Assistant to the Managing Partner plays a critical role in ensuring the efficient operation of the Managing Partner’s office. This position requires a high degree of professionalism, discretion, organizational skills, and the ability to manage multiple tasks simultaneously. The Assistant serves as a trusted liaison between the Managing Partner, internal teams, clients, and external parties.
- Key Responsibilities:
- Administrative Support
- Manage the Managing Partner's calendar, scheduling meetings, court appearances, appointments, travel arrangements and deadlines.
- Screen and respond to emails, calls, and correspondence on behalf of the Managing Partner.
- Coordinate with clients, opposing counsel, and court personnel as needed.
- Prepare and edit correspondence, reports, presentations, and legal documents.
- Handle incoming calls, emails, and correspondence, prioritizing and responding as needed.
- Maintain and organize confidential files and records.
- Legal Support:
- Conduct legal research, draft documents, and assist in the preparation of briefs, pleadings, contracts, and correspondence.
- Organize and manage case files, ensuring all documents are accurate, up-to-date, and accessible.
- Assist in trial preparation, including witness coordination, exhibit preparation, and courtroom logistics.
- Document Management:
- Collect, organize, and maintain evidence and legal documents.
- Draft and proofread legal documents, ensuring accuracy and compliance with legal standards.
- Maintain and organize filing systems, ensuring that all documents are properly filed and easily accessible.
- Case Management:
- Track case deadlines, maintain task lists, and follow up to ensure timely completion.
- Assist with billing, time entry, and expense reporting for the Managing Partner.
- Maintain confidentiality and uphold the firm's high standards of professionalism.
- Meeting Coordination
- Coordinate meetings with clients, adversaries, internal teams, and external parties
- Manage logistics for board meetings, conferences, and firm-wide events.
- Assist in preparing for court appearances, client meetings, networking events, trials, and other legal proceedings by organizing materials and coordinating logistics.
- Client Relations
- Act as a point of contact for high-profile clients and partners, ensuring exceptional service.
- Handle sensitive and confidential client matters with professionalism and discretion.
- Project Management
- Assist in managing projects, tracking progress, and ensuring completion.
- Collaborate with internal teams to meet firm objectives and deadlines
Qualifications and Skills:
- Education: Bachelor’s degree in business administration, law, or a related field preferred. Paralegal certification is preferred.
- Experience:
- Minimum 3 years of experience in an executive or legal administrative role.
- Minimum 5 years of experience as a paralegal, preferably in Family Law.
- Strong knowledge of legal terminology, court procedures, and case management practices.
- Proficiency in legal research tools (e.g., Westlaw, LexisNexis) and case management software.
