Responsibilities
GENERAL PURPOSE:
The Academic Administrator supports the faculty and/or programs of the Simon Business School. With minimum direction and considerable latitude for independent judgment, perform non-routine and routine duties, requiring resource coordination, course technology expertise, and advanced administrative skills, in support of the Simon Business School Faculty, Faculty Affairs Recruiting & Events Manager, and the Faculty Director of Academic Support. This role will support coordination for faculty seminars, conferences, events, and related reimbursements as well as special projects and data analysis. Important qualities include analytical, communication, technical, and organizational skills. The position requires frequent contact with faculty members and staff.
RESPONSIBILITIES:
Faculty Affairs Recruiting and Research Seminars, Events & Conferences (50%) - Backup / Partner for Faculty Affairs Recruiting & Events Manager. All of the subsequent tasks in this item are to be performed in coordination with team member:
- Plans and coordinates logistical aspects for faculty recruiting events each year including developing project plan and timelines.
- Reviews submitted applications ensuring completion, disseminates applications to area faculty, develops itineraries for candidates in conjunction with area coordinators, manages logistics for each visit and maintains confidentiality related to the candidates.
- Coordinates research seminars for each area throughout the academic year. Creates itineraries, manages room reservations, and ensures proper technology setup. Provides direction and oversight during seminar, resolving any issues that arise.
- Manages Simon exchange calendar with confirmed research and recruiting seminars. Develops and disseminates communications/announcements regarding seminars.
- Tracks expenses, ensuring timely payment of invoices. Maintains budget for events. Utilizes Workday system to process reimbursements for research speakers and recruitment candidates.
- Manages faculty-related events, such as faculty meeting logistics and coordination, and academic conferences. Provides direction and oversight during events. Addresses any day of questions and concerns. Coordinates with various vendors and outsources services for catering, event space, etc.
Serve on Instructional Technology & Innovation Team (40%) - Serves on Instructional Technology & Innovation Team to work with Simon School faculty on incorporating technology into their course offerings:
- Cross-train on multiple course technologies, including (but not limited to) Blackboard, Panopto, Poll Everywhere, Qwickly, Slack, FeedbackFruits, and Echo360
- Develop content and provide support for Generative AI workshops for faculty, staff, and students
- Populate Blackboard course template with course materials
- Create individual and group assignments in Blackboard
- Level one support in resolving unexpected technical issues in Blackboard
- Coordinate with Disability Services regarding students with accommodations
- Enter grades into Student Information System in Workday
- Coordinate required course materials Harvard cases, textbooks, etc.
- Manage faculty requests for supplies and equipment
- Organize course-related special events
- Assist with expense coordination for travel
- Other duties or projects as required or requested by faculty
Interpersonal Development (10%)
- Seek and attend training offered by other schools and departments to increase institutional knowledge
- Keep abreast of new tools and functionality in systems currently used by faculty
QUALIFICATIONS:
The successful Academic Administrator will:
- Possess excellent organizational, technical, and communications and customer service skills
- Work well in both a team or individual environment, with all levels of management and staff as well as a diverse student population
- Have keen insight and ability to prioritize workload and multi-task based on flow of academic year and understanding of faculty timelines
- Pay close attention to detail, meet inflexible deadlines, remain calm during difficult situations, work under pressure, and work with frequent interruptions
- Be dependable, flexible, and efficient
Knowledge & Experience:
- Bachelor's degree and 1 year of relevant experience required, or equivalent combination of education and experience
- Excellent communication and interpersonal skills
- Advanced technical/office skills, including keen working knowledge of Microsoft Word, Excel, PowerPoint and Outlook
- Interest in Learning Management system (such as Blackboard) preferred

Pay Range
Pay Range: $21.36 -$29.90 Hourly
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the jobs compensation range, and will be determined byconsidering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
