Position Summary Under limited supervision, performs a wide variety of departmental tasks requiring a broad knowledge of policies, procedures, and systems. Works with the Director of Intensive English to support the programs, including students and staff, and works with others in the department to create and uphold policies, procedures, and systems.
Job Duties Responsibility Area: Customer Service
Duties: Provide excellent customer service to students, staff and visitors, answer and direct telephone calls as needed and represent International Programs hospitality in response to general inquiries and interactions. Proactively manage communication with other departments within UNO and UNMC on matters related to Intensive English Programs, including Admissions, Cashiering & Student Accounts, Human Resources, Business and Finance, University Communications, Information Technology Services, Office of Global Engagement, other department Chairs and Deans, etc.

Responsibility Area: Coordination
Duties: General coordination and oversight of administrative details, including:
Admissions, orientation, and registration facilitation: Assist with application communications and admissions tracking, orientation scheduling and new student testing, class registration and enrollment drop/add as needed.
General program data tracking: submitting receipts, facilitating student attendance monitoring, collecting course grade and syllabus documents from instructors, coordinating with International Advising for course and exit and/or special programs participation evaluations, building and maintaining student and alumni databases, etc.

Responsibility Area: Communications
Duties: Crafting and managing a communications strategy for the Intensive English Programs broadly, including reaching out to alumni and current students for testimonials and coordinating with the University Foundation, designing and updating the web pages, developing newsletter strategy and writing and/or coordinating content, designing and managing social media outreach and connections with current and former students, designing and editing short videos or photography projects, drafting and reviewing general program communication materials and tracking with UNO Communications and International Advising as needed.

Responsibility Area: Administrative Support
Duties: Manage project details of special programs coordination, including activities such as arranging lodging, travel and transportation, food and per diem; creating program calendars, content binders, and welcome packets; managing program and partner feedback; and tracking receipts
Manage partner and outreach communications, including organizing, attending, and participating in stakeholder meetings; identifying or following up on potential opportunities with community partners, reaching out to faculty or University departments to coordinate on guest visits, collaboration opportunities; ensuring project deadlines are met, documenting and following up on important actions and decisions from meetings and providing administrative support as needed.

Required and Preferred Qualifications Required Education Bachelor’s Degree from a four-year college or university,
Required Experience 2 years of office coordination, administrative support or customer service experience. Strong Microsoft Office skills, including the ability to create and use Excel tables for basic data tracking, sorting, and basic formulas. Will consider an equivalent combination of education and related work experience.

Preferred Education Bachelor’s Degree in International Studies, Foreign Languages, English as a Second Language, or a related field. Will consider an equivalent combination of education and related work experience.
Preferred Experience Some prior experience in an international setting, study abroad, working with immigrant or international communities, foreign language, or intercultural communications. Prior experience working in an educational setting a plus. Excellent verbal and written skills. Experience with video editing, digital marketing or digital communications, or project planning would be an asset but are not required. Will consider an equivalent combination of education and related work experience.
