Job Summary: An Agent Services Representative is a proactive and customer-oriented member of our real estate team. The ideal employee will be passionate about real estate, possess excellent communication skills, and thrive in a fast-paced environment. As an Agent Services Representative, you will play a crucial role in supporting our agents and clients, ensuring smooth transactions and exceptional customer service.

Essential Functions:
  • Serves as a point of contact for clients, agents, and internal stakeholders, addressing inquiries, resolving issues, and providing support as needed
  • Responds promptly to client inquiries via phone, email, or in-person meetings, addressing their concerns and providing relevant information.
  • Schedules property showings, open houses, and appointments for clients, coordinating with agents and other stakeholders as needed.
  • Assists in the preparation and execution of real estate contracts, ensuring accuracy and compliance with legal requirements.
  • Facilitates communication between buyers, sellers, agents, lenders, attorneys, and other parties involved in real estate transactions.
  • Tracks and monitors the progress of transactions, proactively identifying and resolving any issues that may arise.
  • Assists with the development of promotional materials, listings, and advertisements to attract potential clients and showcase properties.
  • Utilizes social media platforms, real estate websites, and other channels to promote listings and engage with prospective buyers and sellers.
  • Coordinates and participates in networking events, community outreach activities, and other marketing initiatives to expand the company's reach and reputation.
  • Maintains accurate and organized records of client interactions, transactions, and property listings using CRM software and other tools.
  • Prepares reports, presentations, and documents for agents and management as needed.
  • Assists with administrative tasks such as scheduling appointments, managing calendars, and handling correspondence.

Education/Experience/Qualifications:
  • Previous experience in real estate, customer service, or a related field is preferred.
  • A valid real estate license (or willingness to obtain one) may be required depending on local regulations.
Required Skills / Abilities:
  • Excellent communication skills, both written and verbal.
  • Detail-oriented with strong organizational and time management skills.
  • Proficiency in MS Office suite and familiarity with CRM software (e.g., Salesforce, Zoho CRM) is a plus.
  • Strong interpersonal skills and the ability to build a rapport with clients, agents, and other stakeholders.
  • Ability to work independently and as part of a team in a fast-paced environment.
Special / Physical Requirements:

Includes small amounts of lifting, twisting, bending, sitting, standing, keyboarding, etc. Requires sitting or standing at a desk for long periods of time indoors. Eye and hand coordination for viewing of monitor screen and multiple reports along with high volume of keyboard use.
