Position Overview:
The Assistant Event Coordinator will support the Event Coordinator/Manager in planning, organizing, and executing events. This role involves administrative tasks, client communication, vendor coordination, and on-site event support to ensure smooth operations and memorable experiences for clients and attendees.

Key Responsibilities

Event Planning and Preparation:


  • Assist in creating event timelines, budgets, and checklists.
  • Research and book venues, vendors, and suppliers.
  • Coordinate with vendors for quotes, contracts, and logistics.


Client and Stakeholder Communication:


  • Serve as a point of contact for clients and respond to inquiries promptly.
  • Attend client meetings to discuss event details and requirements.
  • Provide updates to stakeholders about event progress and planning milestones.


On-Site Event Support:


  • Assist in event setup, execution, and breakdown.
  • Coordinate with vendors and troubleshoot issues on-site.
  • Monitor event activities to ensure client satisfaction and address any last-minute needs.


Administrative Duties:


  • Maintain event documentation, including contracts, budgets, and schedules.
  • Track expenses and assist in budget management.
  • Prepare post-event reports and evaluations.


Marketing and Promotion (if applicable):


  • Support promotional activities, including social media posts and email campaigns.
  • Assist in creating event marketing materials such as flyers, banners, and presentations.

  • Proficiency in Microsoft Office Suite and event management software.
