About the job:
Let It Grow, Inc., a leader in landscape and site construction, is seeking an experienced Director of Facilities to join our dynamic team. This pivotal role involves managing projects valued between $500,000 and $25 million, covering a broad spectrum from small to large-scale endeavors. Our projects include diverse settings such as universities, healthcare facilities, shopping malls, office buildings, retail spaces, luxury residential environments, parks, and open spaces.
Reporting to the President and Chief Financial Officer (CFO), the Director of Facilities is responsible for overseeing all aspects of facility management, operations, and maintenance across the company’s 3 locations, ensuring the smooth functioning of all facilities in alignment with business needs and compliance standards. This role will support the company’s operations by managing office spaces, warehouses, field yards, and equipment to ensure a safe, efficient, and well-maintained working environment for all employees. The Director of Facilities will work closely with senior leadership and project teams to ensure the company’s physical assets support operational efficiency and strategic growth.
Duties and Responsibilities:
- Facility Operations & Maintenance:
- Oversee the day-to-day operations and maintenance of all company facilities, including offices, warehouses, fleet, field equipment, and project sites.
- Develop and implement preventative maintenance programs to ensure longevity and reliability of facilities and equipment.
- Ensure proper scheduling and execution of routine and emergency maintenance, coordinating with external vendors when necessary.
2. Safety & Compliance:
- Ensure all company facilities comply with federal, state, and local safety, health, and environmental regulations.
- Partner with the safety team to conduct regular inspections, audits, and training to ensure safe working conditions for all employees.
- Develop and enforce safety protocols related to facility operations, including OSHA compliance and emergency preparedness plans.
3. Budgeting and Cost Management:
- Develop and manage the annual facilities budget, including capital expenditure planning for repairs, upgrades, and new facilities.
- Monitor and control spending, ensuring that all facility-related expenses align with the approved budget.
- Identify opportunities for cost savings through efficiency improvements, vendor negotiations, and effective resource management.
4. Vendor & Contractor Management:
- Manage relationships with facility service providers and contractors (e.g., maintenance, cleaning, security, utilities, etc.).
- Negotiate contracts with suppliers and service providers to ensure the best value and service for the company.
- Supervise and evaluate the performance of contractors to ensure quality work is completed on time and within budget.
5. Fleet and Equipment Management:
- Oversee the maintenance and management of the company’s vehicle fleet and construction equipment to minimize downtime and ensure operational efficiency.
- Implement tracking systems for maintenance schedules, usage, and lifecycle management of vehicles and equipment.
- Collaborate with project managers to ensure that all equipment and vehicles are in optimal condition for site work and transportation.
6. Facility Development & Expansion:
- Work closely with senior leadership to assess the company’s growth and facility needs, planning for future expansions, relocations, or new site acquisitions.
- Manage the planning, design, and construction of any new company facilities, working with architects, engineers, and contractors to ensure timely and cost-effective project completion.
- Evaluate existing facilities for improvements in layout, technology, or efficiency that could enhance operational performance.
7. Sustainability & Efficiency Initiatives:
- Identify and implement sustainability initiatives to reduce the company’s environmental impact (e.g., energy efficiency, waste reduction, water conservation).
- Lead projects aimed at improving facility energy efficiency, including lighting, HVAC, and other infrastructure upgrades.
- Promote a culture of environmental responsibility within the organization by integrating green building practices and materials
8. Team Leadership & Development:
- Lead, mentor, and develop a team of facility maintenance personnel, ensuring they have the skills and tools necessary to perform their duties effectively.
- Foster a collaborative and safety-first culture within the facilities team and across departments.
- Conduct regular performance reviews and provide ongoing feedback and development opportunities for direct reports.
9. Asset Management & Inventory Control:
- Maintain an accurate inventory of all facility-related assets, including office furniture, equipment, and supplies.
- Implement asset tracking systems to monitor the condition and location of assets, ensuring timely replacements or repairs as needed.
- Collaborate with the procurement department to forecast facility-related inventory needs and manage inventory levels effectively.
10. Cross-Department Collaboration:
- Work closely with other departments, such as Operations, HR, IT, and Finance, to ensure facility-related needs are met across the organization.
- Serve as a liaison between field teams and corporate offices, ensuring seamless coordination and communication regarding facility issues, equipment needs, and logistical support.
Ideal Candidate:
- Bachelor’s degree in facilities management, construction management, business administration, or related field; equivalent experience may be considered.
- 8-10 years of experience in facilities management, preferably in a construction or industrial environment.
- Proven track record of managing multiple facilities and leading teams in a fast-paced, multi-site environment.
- Strong knowledge of building systems (HVAC, electrical, plumbing), facility safety protocols, and compliance regulations (OSHA, EPA).
- Excellent leadership, communication, and negotiation skills.
- Experience managing budgets, contracts, and vendor relationships.
- Proficiency in facilities management software and asset tracking systems.
- Ability to manage large-scale projects, including new facility builds and major renovations.
Physical Requirements:
- Ability to travel between multiple company locations and job sites.
