Position Overview:
We are seeking a dynamic and experienced Dental Office Manager to oversee daily operations at Springs Dental Care. This role is crucial in ensuring that our office runs efficiently while providing exceptional customer service to our patients. You will be responsible for managing both the administrative and operational aspects of the practice, including staff management, patient relations, financial oversight, and ensuring compliance with industry regulations.
Key Responsibilities:
Office and Staff Management:
Oversee the day-to-day operations of the dental/neurology office, ensuring smooth workflows and a positive work environment.
Supervise, train, and manage the office team, including dental assistants, hygienists, and front-office staff.
Monitor patient scheduling to maximize efficiency while minimizing wait times.
Ensure proper patient intake, check-in, and check-out procedures to enhance patient satisfaction.
Financial and Administrative Responsibilities:
Oversee billing, insurance verification, and claims processing to ensure accurate financial operations.
Manage patient accounts, including collections, payment plans, and insurance claims.
Prepare and maintain office budgets, track expenses, and ensure profitability.
Ensure compliance with HIPAA and OSHA regulations.
Manage office inventory and supply ordering.
Patient Relations:
Provide exceptional customer service by addressing patient inquiries and resolving concerns.
Implement patient retention strategies and ensure high patient satisfaction rates.
Maintain positive relationships with patients, ensuring they feel welcomed and cared for at every visit.
Handle patient complaints and concerns with professionalism and empathy.
Marketing and Practice Growth:
Collaborate with the team to create and implement marketing initiatives, including social media, community outreach, and referral programs.
Help promote Springs Dental Care to the local San Antonio community, fostering long-term patient relationships and growth.
Qualifications:
Proven experience as a Dental Office Manager or similar role in a dental or medical care setting.
Strong knowledge of dental office operations, including appointment scheduling, billing, and insurance processes.
Familiarity with dental/medical software systems such as Open Dental, Eaglesoft, or similar] is preferred but not required.
Excellent leadership skills and experience managing a team.
Strong organizational skills with the ability to multitask in a fast-paced environment.
Exceptional communication skills, both with staff and patients.
Ability to handle sensitive patient information with professionalism and confidentiality.
Knowledge of dental insurance and billing practices is a plus.
Education: Associate or Bachelor’s degree in Business Administration, Healthcare Management, or related field is preferred.
Experience: Minimum of 1-2 years of experience in a dental office, with at least 1 year in a management or supervisory role.
Bilingual (English/Spanish) is a plus, but not required.
