Job Title: Service Manager
Overview: The Service Manager will oversee and run the maintenance and service operations for the assigned community, using the NSPIRE operations standards as the baseline of achievement. The Service Manager will ensure the efficient operation of all maintenance processes, manage a team of maintenance technicians and groundskeepers, and maintain high levels of tenant satisfaction through effective service delivery. The Service Manager reports directly to the Regional Manager.
Key Responsibilities:
- Maintenance Operations Oversight:
- Supervise and coordinate all maintenance activities, including inspections, repairs, installations, and preventive maintenance for the community assigned.
- Understand and implement maintenance procedures, policies, and NSPIRE standards to ensure efficient operations and regulation compliance.
- Monitor and manage maintenance budget, expenses, and inventory to optimize cost-effectiveness.
- Manage and inspect the community's curb appeal daily, ensure the assigned community is free of all trash, and support the cleanliness of amenities, common areas, and interior breezeways.
- Maintain a clean, stocked, and safe maintenance shop.
- Ensure work orders are assigned, completed, and closed out daily using the maintenance operating system. Each Maintenance team member will close their work orders in the assigned operating system and submit time work and products used.
- Maintenance Supervisor to walk and schedule all turnkey work to bring vacant units into move-in ready condition, including but not limited to the final maintenance walk and inspection; once the vacant apartment is prepared and inspected by the service manager, the Regional Manager must be notified for the final walk approving the unit for move-in. Each vacant unit must have a make-ready checklist completed and signed off on by the maintenance supervisor and technician assigned to punch the unit; this form must be turned in to the Regional Manager for their final walk and approval of the unit for move-in.
- Should the community have any outside agency partnerships, the service manager will design and implement annual inspections and corrections within 60 days of the lease renewal to ensure outside agencies will pass the unit during outside agency inspections.
- Maintenance Supervisor will ensure all life safety annual inspections are scheduled annually, proper staffing is utilized, and inspections and corrections are completed before the green tags expire. The yearly inspection binder should always be current on local fire marshal inspection requirements and completions.
- The Maintenance Supervisor will schedule and ensure that quarterly preventative maintenance duties are completed and recorded for company visibility and audit processes.
- Any other duties as assigned.
- Team Management:
- Recruit, train, supervise, and evaluate maintenance technicians and support staff.
- Work with the Regional Manager to ensure staff paid time off does not overlap and interrupt priority inspections, such as NSPIRE inspections and annual life safety inspections and corrections.
- Design and implement the maintenance on-call schedule.
- Assign work orders and team schedules to ensure the timely completion of maintenance tasks.
- Ensure that each team member completes work orders correctly and closes out daily work orders in the operating system. Pull daily and weekly reports to identify deficiencies and bring all deficiencies to the attention of the Regional and Vice Presidents.
- Foster a collaborative and productive team environment focused on achieving service excellence and tenant satisfaction.
- Tenant Relations:
- Serve as the primary point of contact for tenant maintenance requests and emergencies.
- Address tenant concerns promptly and professionally, ensuring a high level of customer service and satisfaction.
- Implement and uphold property maintenance standards to enhance tenant comfort, safety, and retention.
- Vendor and Contract Management:
- Coordinate with external contractors and vendors for specialized repairs and services.
- Negotiate contracts, evaluate vendor performance, and ensure compliance with service agreements and budgetary constraints.
- Monitor vendor activities to ensure quality of work and adherence to contractual obligations.
- Compliance and Safety:
- Ensure compliance with all applicable laws, regulations, and safety standards related to property maintenance.
- Conduct regular inspections and audits of the assigned community and maintenance operations to identify and address potential safety hazards and compliance issues.
- Implement and promote safe work practices among maintenance staff and contractors.
Qualifications:
- Proven experience as a service manager or in a similar role in property management, with a strong background in maintenance operations.
- Solid understanding of residential property maintenance procedures and systems (HVAC, plumbing, electrical, etc.).
- Excellent leadership and managerial skills with the ability to effectively supervise and develop a team.
- Strong organizational and multitasking abilities, with attention to detail and the ability to prioritize tasks.
- Exceptional communication and interpersonal skills, with a customer-focused approach to tenant relations.
- Knowledge of property management software (e.g., OneSite) and proficiency in Microsoft Office Suite.
Education and Certifications:
- High school diploma
- Relevant certifications, such as HVAC, plumbing, and electrical training, are required.
- CPO certification is required.
Working Conditions:
- This position primarily operates outside but also includes work environments inside occupied units, common areas, and the maintenance shop.
- May involve exposure to various weather conditions and physical demands associated with property inspections and maintenance activities.
