Our client, a well-know legal firm in San Francisco, is looking for a talented Data Governance and IT Support Analyst to join their team on a Full Time/Direct Hire basis. Ideal candidates will have experience leading the development and implementation of records and information governance policies, processes, and procedures. Successful candidates will possess strong technical skills, including the ability to quickly master software applications and troubleshoot computer hardware. A proven background in providing exceptional customer service with a proactive approach to supporting internal users is essential. Prior experience in a professional services environment, preferably within a law firm, is required.

 

RESPONSIBILITIES:

 

  • Develop, recommend, and implement records, information, and data governance guidelines.
  • Drive firm-wide records and information governance initiatives, ensuring alignment with firm policies and industry best practices.
  • Identify and mitigate risks related to information and data management.
  • Promote a culture of compliance in all areas of information governance.
  • Act as a liaison and build strong relationships with attorneys and staff requiring assistance with information and data governance issues.
  • Collaborate with the Service Desk, internal IT teams, and external vendors to deliver second-level desktop support to end-users.
  • Provide technical support for the firm's hardware and software, including Microsoft Office 365 Suite, Windows OS, Teams, Adobe, iManage Document Management System, iOS devices, printers, laptops, and network troubleshooting (e.g., VMware Horizon Client, Zscaler VPN).
  • Deliver records and information governance training, as well as technology onboarding, for new employees.
  • Provide meeting room support and assist with external audiovisual events organized by the firm.
  • Stay informed about legal records and information management changes.
  • Develop educational materials to support attorneys in meeting ethical obligations and enhancing client service.
  • Manage resources effectively and prioritize projects.
  • Coordinate responses to internal and external information access requests (e.g., Matter Mobility, Legal Holds, Document Management Systems, file shares, and collaboration tools such as Microsoft Teams).
  • Mentor local operations and administrative staff to enhance skills and knowledge.
  • Resolve and manage Service Desk tickets promptly, ensuring detailed and timely updates.
  • Set up and support AV video conferences and provide assistance for offsite trials as needed.
  • Policy and Documentation Maintenance:
  • Monitor policy changes, revising documentation as required.
  • Maintain productive relationships with IT personnel responsible for executing information governance support.

 

QUALIFICATIONS:

 

  • Demonstrates a professional appearance and demeanor with the ability to communicate effectively with legal and non-legal personnel, clients, and vendors.
  • Maintains a cooperative, respectful attitude and fosters positive working relationships across all levels of the firm.
  • Strong understanding of records and information governance practices.
  • Familiarity with Document Management Systems and expertise in desktop and laptop hardware troubleshooting.
  • Working knowledge of ITIL Service Management and current Microsoft Office Suite, with MOS certifications preferred.
  • Good understanding of audio-visual environments, including experience supporting online meetings and webinars.
  • Capable of analyzing problems, developing alternatives, and making sound decisions independently.
  • Demonstrates initiative, self-motivation, and ownership of tasks, with a proactive, "can-do" attitude.
  • Highly detail-oriented with the ability to manage multiple overlapping demands effectively.
  • Adapts to evolving information governance frameworks and associated technologies.
  • Collaborates with Records & Information Governance (R&IG) teams and firm personnel to ensure proper designation of records and content in firm repositories.
  • Strong organizational skills with the ability to adapt to shifting priorities in a deadline-driven environment.
  • Exemplifies a service-oriented approach with the ability to plan, organize, and execute tasks effectively.
  • Advanced knowledge of Windows 10 and the Microsoft Office Suite.
  • Familiarity with IT and information governance tools, as well as troubleshooting and support for both hardware and software.
  • An undergraduate degree and prior experience in a law firm are highly desirable.
  • A minimum of five years of relevant professional experience.

 

PHYSICAL REQUIREMENTS:

  • May be tasked with lifting, carrying, pushing or pulling up to 25 lbs., if able to do so.
  • Must be able to sit for prolonged periods of time and walk/stand for moderate periods of time.
  • Must be able to bend at the knees and waist frequently
  • Must be able to repetitively use a telephone and a computer mouse and keyboard.
