Company Overview: Our client is a leading luxury residential audio and video company known for our commitment to quality, exceptional service, and innovative technology solutions. They specialize in providing bespoke audio-video systems that enhance the cinematic experience within high-end, luxury properties. They are looking to add a Purchasing Manager to their team.
Job Description:
The Purchasing Manager will be responsible for overseeing the procurement process of products and materials related to luxury audio and video systems. This role requires a strategic thinker with strong negotiation skills and a deep understanding of market trends in the audio-video industry. The Purchasing Manager will work closely with suppliers and internal teams to ensure that all purchasing activities align with the company's quality standards and project timelines. The role involves creating and managing purchase orders, tracking orders, and ensuring that products are received and billed accurately across various phases of each project.
Key Responsibilities:
- Review contracts and divide them into purchasing phases to track company costs at each stage.
- Create and issue purchase orders as project phases progress and client deposits are received.
- Monitor all orders placed with vendors, ensuring that order confirmations match in terms of quantity, price, and shipping details.
- Notify the project team of any backorders or delays from vendors.
- Reconcile vendor invoices with purchase orders to confirm accurate pricing, quantities, and delivery to the warehouse, ensuring any negotiated discounts are applied.
- Collaborate with Accounts Payable to approve invoices for entry into QuickBooks after confirming material receipt and correct pricing.
- Maintain vendor relationships, ensuring the company receives any available promotional discounts.
- Track any materials ordered outside the contract or through change orders and ensure they are properly reflected in the final client invoice.
- Conduct quarterly checks of consumables with the warehouse team and operations, creating purchase orders for restocking as needed.
- Maintain a live inventory of stocked materials, ensuring valuable components are used from stock before reordering.
- Manage trade-backs of stale or excess inventory to vendors.
- Perform year-end inventory closeouts in coordination with warehouse personnel.
Requirements:
- Strong organizational skills and attention to detail.
- Familiarity with purchasing processes, inventory management, and vendor relations.
- Ability to work with accounting software (e.g., QuickBooks) and track purchase orders and invoices.
