JOB SUMMARY: the Product Distribution Specialist is responsible for managing the distribution of products to all customers. This includes verifying product availability, creating and releasing sales orders for all customers, and maintaining an accurate and concise schedule of non-managed customer shipments. Additional responsibilities include providing support services to the Director of Product Distribution for ensuring new and reordered product are distributed in a timely and efficient manner.

  • Development of team members in supporting function.
  • Attend weekly meetings as necessary.
  • Manage the daily reception of new items and add to Distribution Master by chain upon arrival.
  • Manage the daily reception of new POs from non-managed Customers and schedule POs to ship in a timely manner.
  • Manage POs for all non-managed customers,
    1. Research and advise Sales Operations of product availability for non-managed customer orders.
    2. Prepare the sales order for all non-managed customers and send to warehouse for shipment as directed by the Sales Operations Team.
    3. Review the shipment of sales orders for non-managed customers and respond to inquiries regarding shipments.
    4. Work with IT to get customers moved to the automated system, if warranted.
  • Create orders for managed customer shipments and new product distribution – including Quick Ships.
    1. Monitor new product arrival and manufactured product availability and facilitate distribution of new/manufactured product.
    2. Maintain POG assignments for products and for individual stores.
    3. Create quick ships and manual shipments as needed to distribute new product.
    4. Manage inputs into Replenishment System.
    5. Maintain inputs on changes to individual managed customer accounts.
    6. Monitor and maintain weeks of supply levels.
  • Monitor the status of product shipments for high profile or special placement items
    1. Identify products to monitor.
    2. Review the flow of identified product through several weeks of replenishment.
    3. Suggest additional shipments to team, if warranted to maintain the level of product in the field.
  • Identify items allocated but not distributed weekly. Communicate issues to Director of Product Distribution and accountable salesperson.

JOB REQUIREMENTS:

  • Extensive knowledge of products.
  • Understanding of the distribution process
  • Understanding of plan-o-grams
  • Attention to detail an imperative
  • Strong organizational skills
  • Ability to multi-task and set priorities.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • Outstanding computer skills, including advanced level of knowledge of Microsoft Excell. Use of other database and analysis tools is a plus.
  • Good organizational skills
  • Good proactive communication skills
  • Ability to manage more than one process at a time

ENVIRONMENTAL AND PHYSICAL ACTIVITY REQUIREMENTS: The daily responsibilities of this position constantly require effective talking, hearing, sitting, walking and standing functions. The position also requires frequent repetitive motion activities. Must be able to read print and computer-based materials and to do so with consistent accuracy. Most of these functions require light physical exertion and are conducted in a temperature-controlled environment with occasional exposure to hot and cold temperatures.

INTELLECTUAL/EMOTIONAL REQUIREMENTS: The occupant of this position must be a problem solver and independent thinker and be able to perform the responsibilities of the position well under pressure. The position requires critical thinking and strategic planning skills. The position requires adaptability to performing a variety of duties, often changing from one task to another without loss of efficiency or composure. This position requires the ability to manage multiple projects at one time and may be interrupted frequently to meet the needs and requests of others. It also requires adaptability to fluctuate between priorities daily while being responsive to needs as they arise
