Job Title: Data Processing / Direct Mail Manager

Status: Salary position 

Supervisor: Director of Operations

JOB SUMMARY:

  • The Data Processing / Direct Mail Manager is expected to possess significant level of direct mail production as well as proficient "USPS Direct Mail stream" knowledge that rate him (or her) among the best at this function in the printing industry.
  • The Company expects that the Data Processor / Direct Mailing Manager will act at all times to assure the highest level of ethics, professionalism and personal performance possible, will work enthusiastically to meet or exceed all performance goals set by the company, and will contribute his or her utmost to assist the company in achieving its goal of being the best provider of mailing services in the printing industry.
  • The Data Processing / Direct Mail Manager is responsible for the supervision and efficient functioning of all mailing related activities in a manner consistent with the rules and policies established by United States Postal Service. The Company and as documented in the Employee Manual, Standard Operating Procedures, Quality Manual, Work Instructions and other applicable documents. This will include working closely with the scheduling department workflow and client services team to achieve the manufacturing goals of the company and managing staff to meet client schedule requirements. It will also include evaluating staff craft and system skill levels, scheduling and providing educational opportunities to bring them to the highest possible level and coaching for top ranked performance.
  • The Data Processing / Direct Mail Manager is generally responsible for achieving of all goals related to the cost, quality and on-time production of mailing materials. As the final department in the mailing process chain, the Data Processing / Direct Mail Manager is also responsible for assuring the overall quality of the products being shipped/mailed to customers by supervising in-process inspections and verifications.

JOB DUTIES:

ESSENTIAL SKILLS, DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Ability to create, purchase and or process customers mailing files to optimize all postal projects to work seamlessly within USPS postal regulations
  • Ability to review jobs before production to ensure all USPS postal regulations are considered and mailing pieces are optimized for the best possible rates and delivery times based on customer requirements
  • Familiarity with BCC Mail Manager Software for Data Processing is a must have in your mail file processing experiences
  • The ability to prioritize numerous tasks, items and functions to organize multiple items in prioritized sequence to achieve project success and meet client drop date requirements
  • Flexibility to adjust to rapidly changing requirements and schedules
  • Must have an analytical approach to problem solving
  • Skills as coach to reinforce learning (training) to promote consistent performance according to Standard Operating Procedures and other system documentation
  • The ability and willingness to perform corrective actions and or discipline with reporting employees when appropriate
  • The ability and willingness to show leadership by consistent example
  • Ability to read and understand job production requirements & specifications as communicated client services (and sales team) in addition to the project "Job Jacket" information
  • Interact with scheduling, customer service, and production planning to confirm and assure availability of printed materials to meet Direct Mail drop / delivery requirements
  • Work upstream with all departments (Client Services, Scheduling, Planning / Estimating and Finishing) to ensure smooth transition of materials: from inception of project, to cleanse of client data files, confirmation / affirmation of mail piece design to print and finishing and lettershop and mail drop date.

Maintain a smoothly operating Mailing department by:

  • Showing problem solving skills, especially between cost centers
  • Consistently providing coaching, training and leadership
  • Work to resolve customer questions and achieve final customer requirements successfully
  • Knowledge of safe operating procedures for all mail cost centers
  • Production time requirements for each piece of mail equipment
  • Company quality requirements as they pertain to folding and mailing
  • In-line inspection for quality attributes
  • Maintaining quality limitations and abilities of each piece of mailing equipment
  • Have a general understanding of the operation performance of all mailing / inserting equipment
  • Give direction and suggestions to create the most efficient way that a job should be prepared
  • Understand basis for company profitability & overtime limitations
  • Possess the ability to work with manufacturing management to achieve company goals including customer satisfaction and company profitability
  • Demonstrate proficiency in the use of the data collection system and display consistency and accuracy in meeting data collection requirements specified in the quality documentation and by management
  • Demonstrate willingness to accept direction from management and peers to improve quality and performance
  • Demonstrate willingness to work together with peers and other departments to improve quality and performance
