The Administrative Assistant for the Executive Suite is responsible to provide office management, administrative and clerical support for Kids Central, Inc. (KCI) staff carrying out the goals of the organization. This position provides executive level administrative assistance to the Chief Executive Officer, Chief Financial Officer and Board of Directors of Kids Central, Inc. which requires handling sensitive, confidential material and information completing day-to-day functions in a timely manner.
ESSENTIAL FUNCTIONS:
- Coordinate Board of Directors meetings and facilitate the preparation and advance distribution of Board packets.
- Transcribe and distribute Board meeting minutes in a timely manner.
- Maintain annual Board calendar.
- Coordinate Corporate Executive team meetings, transcribe notes for follow-up.
- Maintain Board Bylaws and Policies.
- Maintain Board Orientation Manual.
- Familiarity with Roberts Rules of Order which governs each board meeting.
- Familiarity with Florida's Sunshine Law as it applies to KCI Board of Directors.
- Maintain the CEO and CFO Outlook calendar, to include scheduling and coordinating meetings, conferences, reserve conference rooms and venues.
- Schedule travel arrangements and coordinate events/department functions for CEO, CFO, and other KCI executives as requested.
- Review and submit expense reports from various attendees including staff.
- Prepare and distribute agendas of executive meetings. Records, transcribes and distributes minutes of executive meetings as requested.
- Prepare and modify documents to include spreadsheets, PowerPoint presentations, portfolios and binders for distribution. Draft letters, collect and analyze information, generate and distribute emails on behalf of executive staff.
- Answer and screen CEO, CFO calls. Resolve administrative problems and inquiries such as inquiries from staff, parents, foster parents or general public, take messages and advise CEO, CFO and COO of situations requiring immediate attention with a timely and professional manner.
Other Requirements
- Ability to successfully clear a Level II background screen
