About the Role:
The Administrative Assistant plays a crucial role in ensuring the smooth operation of our Main Office in the construction industry. This position is responsible for providing comprehensive administrative support to various departments, facilitating effective communication and coordination among team members. The successful candidate will manage schedules, organize travel arrangements, and maintain essential records, contributing to the overall efficiency of the office. By handling clerical tasks and supporting human resources administration, the Administrative Assistant will help create a productive work environment. Ultimately, this role is vital in enabling our team to focus on delivering high-quality construction projects on time and within budget.
Minimum Qualifications:
- High school diploma or equivalent.
- Proven experience in an administrative role, preferably within the construction industry.
- Strong organizational skills and attention to detail.
Preferred Qualifications:
- Associate's degree in business administration or a related field.
- Experience with project management software and tools.
- Familiarity with construction terminology and processes.
Responsibilities:
- Manage and maintain calendars for team members, scheduling meetings and appointments as needed.
- Coordinate travel arrangements, including booking flights, accommodations, and transportation for staff.
- Handle multi-line phone systems, directing calls and taking messages to ensure effective communication.
- Assist with general clerical duties such as filing, data entry, and document preparation.
- Support human resources administration by maintaining employee records and assisting with onboarding processes.

Daily tasks will involve managing calendars and travel arrangements, which require strong organizational and multitasking skills.
