Job DescriptionJob DescriptionThe Billing Specialist role is a key position in the billing department. You will be responsible for handling all aspects of the firm’s client billing cycle, ensuring that billing is completed effectively, efficiently, and accurately. Primary responsibilities include e-bill submission, emailing, or mailing of monthly and/or quarterly finalized invoices to insurance clients and individuals, as well as responding to and submitting appeals for e-bills within the timeframe set forth by each client. Assisting with collections efforts and reconciling payments as requested.
Essential Duties
• Works with attorneys and secretaries to ensure that e-billing setup requirements are entered accurately and conform to client and third-party vendor billing guidelines in the firm’s case management and financial system software, as well as the individual e-billing systems;
• Works with attorneys and secretaries as appropriate to make proofs and edits to rates, time transfers, and narratives on prebills in compliance with the client’s guidelines;
• Creates final invoices for transmittal to the client including submission via e-billing systems;
• Ensures all required backup documentation for expenses are submitted with invoices for processing;
• Monitors and ensures compliance with e-billing requirements and client guidelines on a routine basis.
• Reviews and resolves e-billing rejections and appeals in a timely manner;
• Tracks status of outstanding appeals and write-offs and follows up with attorneys as necessary to meet client appeals deadlines and prevent false AR issues from short pays;
• Responds to client billing questions and inquiries by researching the facts, determining the status of the issue, taking required actions, and responding in an accurate and timely manner;
• Helps to coordinate follow-up on outstanding WIP and receivables by working with assigned partners to actively address aged unbilled fees and costs;
• Assists with identification and reconciliation of payments received;

business-related field from an accredited college/university is preferred.
• An equivalent combination of an Associate’s Degree and 5+ years of law firm experience will be accepted.
• Must be an excellent communicator with the English language with particular strength in clear, detail-oriented, and accurate writing.
• Must be able to prioritize tasks in a fast-paced environment and have the capacity to work both independently and collaboratively with a focus on details.
• Proven analytical and problem-solving skills with the willingness to take initiative to research and solve issues that arise. In-depth and broad understanding of the billing cycle and experience supporting applications and databases.
