e-Billing Specialist- Insurance Defense

Job Summary:
The Billing and E-Billing Specialist will be responsible for managing e-billing processes, ensuring compliance with client and third-party billing guidelines, and maintaining accurate billing records. This role collaborates closely with attorneys, secretaries, and financial teams to ensure that e-billing requirements are accurately set up, invoices are correctly submitted, and any issues are promptly resolved. The Specialist will handle client inquiries, track outstanding appeals, and assist with reconciliation of payments, while providing detailed reporting as needed.
Key Responsibilities:
Work with attorneys and support staff to accurately set up e-billing in the firm’s case management and financial software, ensuring adherence to client and vendor guidelines.
Review and edit rates, time transfers, and narratives on prebills in compliance with client billing standards.
Prepare and submit final invoices, including submission through e-billing platforms, and attach necessary backup documentation for expenses.
Monitor compliance with e-billing requirements, resolve rejections and appeals, and track outstanding issues to prevent aged accounts receivable problems.
Respond to client billing inquiries by researching and resolving issues promptly and accurately.
Coordinate follow-up on outstanding work-in-progress (WIP) and receivables, working with partners to address unbilled fees and costs.
Reconcile payments received and distribute ad hoc billing reports as needed.
Qualifications:
Bachelor’s degree in Business Administration, Accounting, Finance, or a related field preferred; an Associate’s degree with 5+ years of law firm billing experience is acceptable.
Minimum of 3 years’ experience in client billing and e-billing within a law firm environment.
Proficiency with Excel, Aderant, or similar accounting software; prior experience with e-billing systems such as TyMetrix, Legal-X, CounselLink, Serengeti/Legal Tracker, etc., preferred.
Strong written and verbal communication skills with a focus on detail and accuracy.
Ability to prioritize tasks in a fast-paced setting and work independently or collaboratively.
Excellent analytical and problem-solving skills, with initiative to resolve billing issues efficiently.
