Office Manager

We are seeking a dedicated and organized Office Manager to join a nonprofit organization. The Office Manager will play a vital role in ensuring the smooth operation of our office, supporting staff, overseeing facilities, and managing administrative and human resource-related functions. This position is essential for maintaining an efficient, professional, and welcoming environment that supports our mission-driven work.
Responsibilities:
- Provide administrative support to the Director of Finance and Administration (DFA), Executive Leadership, Board of Directors, and Finance Committee.
- Oversee daily office operations, including fleet maintenance, vendor management, and facilities oversight.
- Plan and organize office events, including staff and board meetings.
- Manage office equipment, ensuring timely maintenance, troubleshooting issues, and arranging repairs when necessary.
- Serve as the main point of contact for receiving and distributing communications and packages.
- Maintain and organize administrative, employee, and organizational records, including policies, procedures, and the employee handbook.
- Greet and assist visitors, creating a welcoming and professional environment.
- Support HR processes such as onboarding, offboarding, and benefits administration, including health care and disability benefits.
- Ensure the organization’s property, vehicle, and worker’s compensation insurance policies are current and accurate; handle requests for certificates of insurance.
- Serve as the liaison with the building landlord to address maintenance issues, security, and building/garage access.
- Maintain office supply inventory, anticipate needs, and ensure timely restocking to support operations.
- Act as the primary contact with the IT vendor for technical support and service coordination.
- Update safety logs and provide them to the safety committee for review.
- Manage the renewal of licenses and permits unrelated to construction projects.
- Perform other duties as required to support the mission of the organization.
Qualifications:
- A minimum of 3 years of experience in office management or a similar administrative role.
- Experience in human resources is a plus.
- Proficiency in Microsoft Office applications, including Word and Excel.
- Strong IT skills and the ability to manage technical issues.
- Knowledge of nonprofit operations is preferred.
- Excellent verbal and written communication skills.
- Strong organizational and project management capabilities.
- High attention to detail and the ability to handle multiple tasks effectively.
- A professional demeanor with the ability to maintain confidentiality.
- A collaborative and positive attitude, with the ability to engage effectively with diverse stakeholders.
- Must have a valid driver’s license and access to a vehicle.

Pay Range: Hourly $27.00 to $29.00
