Responsibilities:

• Greet and welcome customers as soon as they arrive at the office
• Direct visitors to the appropriate person and office
• Answer, screen and forward incoming phone calls
• Ensure reception area is tidy and presentable, with all necessary stationery and material
• Receive, sort and distribute daily mail
• Provide basic and accurate information in-person and via phone/email
• Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
• Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)• Proficiency in answering multi-line phone system with professionalism and courtesy
• Capability to direct phone calls to the appropriate personnel or department seamlessly
• Experienced in handling, sorting, and distributing daily mail in a timely manner
• Excellent communication and interpersonal skills to interact with visitors, clients, and staff
• Demonstrated ability to utilize basic office equipment, including fax machines, copiers, and computers
• Sound organizational skills to manage various tasks and prioritize workload efficiently
• Proven ability to maintain a high level of confidentiality and discretion with sensitive information
• Strong customer service skills to ensure a positive experience for all visitors and callers
• Familiarity with basic computer applications, such as Microsoft Office Suite
• Ability to work independently and as part of a team in a fast-paced environment
• High school diploma or equivalent educational qualification required.
