Job DescriptionJob Description

LHH Recruitment Solutions is partnering with a Construction company in Scottsdale, AZ that is looking to add an Administrative Assistant to the team The ideal candidate will have experience with scheduling, service coordinating, administrative, or heavy data entry experience.

This is a full-time Monday through Friday, in-office position. Pay range $22-$24 per hour depending on experience. 

Key Responsibilities:

  • Coordinate customer order intake, including build agreements, negotiate delivery times, account management and billing information

  • Work closely with the project management and dispatching team to develop and track project schedules and budgets.

  • Ensure adherence to company policies and regulatory guidelines

  • Maintain project files, logs, and documentation, ensuring all records are up-to-date and accurate.

  • Assist in the preparation and review of necessary documentation.

  • Communicate with customers, dispatchers, scheduling, and field crew to ensure accuracy of projects.

  • Monitor and track project progress, ensuring all milestones and deadlines are met.

  • Provide support in the preparation of invoices, purchase orders, and other financial documentation.

  • Assist in the development and implementation of project performance databases and tracking systems.

  • Participate in project meetings, take and distribute meeting notes, and follow up on action items.

Requirements:

  • High school diploma or equivalent required.

  • Minimum of 1 year of experience in an ordering processing, data entry, or administrative position

  • Must be proficient in MS Office Suite including Excel

  • Must have ability to type 40 words per minute.

Pay Details: $22.00 to $24.00 per hour
