Accounts Receivable Specialist

Essential Job Functions:

  • Generate customer invoices, including running labor reports, obtaining bill of materials, and tabulating fuel charges, freight costs, and other miscellaneous charges.

  • Handle high-volume, complex, contract-specific progress billing.

  • Respond to customer billing questions and disputes, escalating issues as needed.

  • Prepare unbilled reports by customer, analyze variances, and provide explanations.

  • Collaborate with internal departments to resolve billing issues and establish best practice processes.

  • Meet critical deadlines and achieve departmental goals and objectives.

  • Maintain a thorough understanding of all customer balances, including upcoming departure billings and items in Work In Progress (WIP).

  • Update daily, monthly, and weekly payment statuses and projected collections.

  • Create customer statements, copies of invoices, and other documentation upon request.

  • Interact with customers in person, by phone, email, and letter to facilitate and drive the collection of aging invoices.

  • Work with Operations, Contracts, Marketing, and Customer Service to ensure customer status is understood and communicated clearly.

Job Specifications:

Education/Training:

  • High School diploma or equivalent required.

  • Post-secondary education or training in accounting highly preferred.

  • Experience with ERP systems and Excel required.

Knowledge, Skills, and Abilities:

  • Strong organizational and planning skills with the ability to adhere to deadlines.

  • Excellent attention to detail and numerical skills.

  • Proficiency in reading, writing, and understanding English, and following verbal and written instructions.

  • Ability to operate applicable equipment with accuracy and speed.

  • Capability to work independently and as part of a team.

  • Ability to multi-task in a fast-paced environment with minimal supervision, which may require overtime.

  • Strong verbal and written communication skills.

Experience:

  • Minimum of three years of experience specifically in accounts receivable.

  • At least three years of experience in complex billing.

  • Must have experience and understanding of interim/progress billing or Work in progress (WIP).

Certificates/Licenses:

  • Valid Driver's License with a clean driving record for the past three years.



Pay Details: $20.00 to $26.00 per hour
