Receptionist

Responsibilities:
• Serve as the first point of contact for all individuals entering the facility, issuing visitor and parking passes and following security protocols.
• Manage the approval process of janitorial or maintenance work orders, as needed, and address issues with vendors or staff.
• Resolve inquiries or complaints from employees, guests, and co-workers in a professional, customer service-driven manner.
• Support the team with meeting coordination and equipment care.
• Adhere to property-specific security and emergency procedures, notifying management to ensure the safety of all individuals in the building.
• Work independently, following specific directions given by the manager.
• Suggest improvements to existing processes and solutions to improve team efficiency.
• Evaluate and communicate unusual or complex content in a concise and logical way.
• Collaborate with multiple departments to ensure clients' needs are met.
• Oversee the processing of deliveries, ensuring they are received and shipped out in a timely manner.
• Juggle multiple tasks and pivot throughout the day to serve clients' needs.
• Support facilities in moves and events.• Excellent customer service skills are required.
• Proficiency in Microsoft Office Suites, including Word, Excel, and Outlook.
• Familiarity with receptionist duties and procedures.
• Ability to supervise and coordinate tasks effectively.
• Knowledge of security protocols and experience dealing with vendors.
• Ability to handle and resolve complaints professionally.
• Experience with property and facility management is desirable.
• Strong communication skills, both written and verbal.
• Experience with managing deliveries and coordinating meetings.
• Multi-tasking abilities and strong attention to detail.
• Proficiency in the use of the Mindset Software and About Time.
• Punctuality and reliability are crucial.
• Ability to manage work orders and onsite tasks efficiently.
• Previous experience in a similar receptionist role is preferred.
• Should have reliable transportation for commuting.
• Excellent skills in managing visitors and coordinating their schedules.
