A reputable law firm in Long Beach, California, is seeking an experienced Litigation Secretary to join their team. The firm’s practice specialization includes but is not limited to business, environmental law and maritime litigation. Position Overview:
We are looking for a seasoned Litigation Secretary to provide comprehensive legal and administrative support to a partner and an associate attorney. The ideal candidate will have a proven track record in inputting attorney time, calendaring litigation deadlines, formatting and finalizing legal documents, preparing Tables of Authorities (TOAs) and Tables of Contents (TOCs), e-filing in state and federal courts, and assisting in trial preparation.
Responsibilities:
Time Management: Accurately input attorney time entries into the billing system, ensuring precision and consistency.
Calendar Management: Maintain and update litigation deadlines, court appearances, and meetings in the calendar system.
Document Preparation: Format, proofread, and finalize legal documents such as pleadings, motions, and briefs, ensuring compliance with legal standards.
Table of Authorities and Table of Contents: Prepare detailed and accurate TOAs and TOCs for legal filings.
E-Filing: File legal documents electronically in both state and federal courts, adhering to the respective court guidelines and rules.
Trial Preparation: Assist in trial preparation activities, including organizing trial exhibits, witness materials, and other relevant documents.
Administrative Support: Provide general administrative support, including answering phones, coordinating appointments as needed or assisting with lunch orders.

- Experience: Minimum of five years of experience as a Litigation Secretary in a law firm setting.
- Technical Skills: Proficiency in legal software applications, including document management systems and billing software.
- Legal Knowledge: Familiarity with legal terminology, court procedures, and e-filing requirements in state and federal courts.
- Organizational Skills: Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Attention to Detail: Strong attention to detail and commitment to producing accurate and high-quality work.
- Communication: Excellent written and verbal communication skills, with the ability to interact professionally with clients and colleagues.
- Team Player: Ability to work collaboratively within a team and provide support to multiple attorneys.
