Job Description: Job Summary
The Executive Secretary will provide administrative support to the Vice President of Marketing and the Marketing Department as a whole. This position plays an integral role in the department’s overall productivity and success.
Essential Job Functions
- Provides administrative support to the Vice President of Marketing and other Directors working within the Marketing Department, including the processing of monthly expense reports, travel coordination, and the management of schedules/calendars on a weekly basis.
- Coordinates ongoing paid media activities with the College’s external vendors (radio and TV).
- Manage small projects and assist with general project management efforts like scheduling, monitoring deadlines, and general communication as needed.
- Acts as budget liaison with Financial Affairs and provides updated budget reports and reconciliation as needed.
- Helps manage the flow of information and documents for projects to manage task assignments and communications.
- Anticipates needs and expectations, offers suggestions regarding the improvement of work, and points out risks to be addressed.
- Works with other departments and teams on strategic objectives as necessary and where applicable.
- Assists in proofreading correspondence and content produced by the department.
Required Qualifications: Qualifications

Education and Experience
An undergraduate degree, comparable certification, or equivalent experience is preferred. Three or more years of administrative support is highly desired.

- Ability to communicate on all levels—oral and written. Must have good communication and outstanding interpersonal skills that are evident in the ability to collaborate well with others.
- Proactive and independent.
- Attention to detail, great organizational skills, and ability to juggle multiple projects efficiently and simultaneously.
- Understand unspoken needs, have a high level of emotional intelligence, and the ability to manage conflict, and respond with situational appropriateness.
- Ability to practice discretion and maintain privacy.
- Ability to meet deadlines under pressure.
Physical Demands: Ability to read, write, and communicate effectively. Ability to operate basic office equipment including copier, printer, computer equipment, display monitors, and the like. The position is largely sedentary. Occasional lifting or moving of office supplies, small boxes, etc., is necessary.
