Legal Intake Specialist

Compensation:$18 - $20 hourly
Responsibilities:Client Screening:
- Handle incoming phone calls from potential clients, assessing their needs and ensuring their cases align with the firm's practice areas.
- Actively listen to clients, providing empathetic responses to make them feel understood and valued.
Sales and Outreach:
- Collaborate with the marketing team to develop and implement outbound sales strategies aimed at attracting new clients.
- Foster partnerships with other law firms to create referral opportunities and expand the firm's client base.
Data Management:
- Collect and organize required documentation from clients, ensuring all information is accurate and complete.
- Enter client data and case information into the case management system for seamless onboarding and efficient file management.
Administrative Support:
- Maintain and manage various office tasks, including updating spreadsheets, drafting and sending emails, faxing documents, and copying materials.
- Transcribe meeting notes and other relevant documents to ensure clarity and accessibility of information.
Follow-Up and Communication:
- Conduct follow-up calls with potential clients to provide updates and gather additional information as needed.
- Communicate effectively with clients throughout the intake process, addressing any questions or concerns they may have.
Reporting and Analysis:
- Track and report on intake metrics and conversion rates to assess the effectiveness of outreach and sales efforts.
- Provide feedback and insights to the marketing team regarding client trends and potential areas for growth.
Continuous Improvement:
- Stay informed about legal industry trends and best practices to improve intake processes and enhance client experience.
- Participate in training sessions and workshops to develop skills in sales techniques and client engagement.
- Customer Service or Sales Experience: Proven background in customer service or sales, demonstrating strong interpersonal skills and the ability to engage effectively with clients and convert inquiries into potential cases.
- Sales Acumen: Strong sales skills with a track record of achieving targets, identifying client needs, and effectively promoting services to drive new business.
- Technical Proficiency: Familiarity with CRM and case management software, along with solid data entry skills and proficiency in spreadsheet management (e.g., Excel).
- Communication Skills: Exceptional verbal and written communication abilities, with a focus on empathetic listening and clear articulation of information to clients.
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and maintain accurate records in a fast-paced environment.
- Legal Industry Knowledge: Basic understanding of the legal industry and its processes, with a preference for candidates who have prior experience in a legal setting.
