Location: Vista
Compensation: $23-$25 per hour
Employment Type: Temp-to-Hire Schedule: Monday to Friday, 8:00 AM to 4:30 PM, with potential for some overtime.

POSITION SUMMARY:
The Accounts Payable & Receivable Specialist is responsible for managing accounts payable, accounts receivable, payroll support, petty cash, and other general accounting and clerical duties to ensure smooth and accurate financial operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Accounts Payable:

Maintain vendor files and update as needed.
Process invoices and ensure timely payments; maintain purchase order files.
Mail checks and organize related paperwork.
Request and track Certificates of Liability, W-9 forms, and Hold Harmless Agreements from vendors and service providers.
Keep a log of vendor documentation and maintain up-to-date records in physical files.
Process resale certificates, complete credit applications, and provide potential vendors with necessary forms.
Maintain and update company credit information with vendors.

Accounts Receivable:
Oversee guest charges from various departments.
Prepare and send guest statements via email or mail as requested.
Audit guest bills to resolve any discrepancies or questions.

Petty Cash:
Track the total cash in the petty cash box weekly.
Reimburse managers and employees for receipts daily.
Replenish front desk cash bag and reconcile receipts on a weekly basis.
Replenish and manage driver bags, cash, and receipts weekly.
Balance petty cash and provide the Controller with an expenditure log weekly.
Additional Support Tasks:

Assist in creating and organizing accounting and administrative binders.
Help maintain and organize accounting storage boxes and cycle through boxes in storage units.
Assist in processing and mailing year-end tax forms (W-2, 1099, 1096).

QUALIFICATIONS:
Education/Certification: High School Diploma required.
Knowledge: Familiarity with debits, credits, and general ledger accounts.
Experience: Minimum of five (5) years of experience in accounts payable, accounts receivable, payroll support, and clerical tasks. Experience in the hospitality industry is preferred.
Skills/Abilities:
Strong interpersonal, verbal, and written communication skills.
Proficient in Excel and Word.
Experience with accounting and hospitality software.
10-key by touch.
Highly organized with excellent attention to detail.
Ability to maintain confidentiality when necessary.
Strong team player with the ability to resolve problems quickly and work effectively under pressure.
Ability to adapt in high-stress environments and contribute positively to the department.
WORKING CONDITIONS AND ENVIRONMENT:
Physical Demands:
Ability to lift up to 10 lbs (1-33% of the time).
Ability to bend, kneel, squat, stoop, or sit for extended periods (67-100% of the time).
Repetitive arm movement at shoulder level (67-100% of the time).
Frequent hand movements (67-100% of the time).
Pushing/pulling up to 10 lbs (67-100% of the time).
Ability to twist neck for extended periods (67-100% of the time).
Frequent talking and hearing requirements.

This role is essential to supporting the accounting department’s daily operations, ensuring the efficient processing of financial transactions and maintaining accurate records.
