We are in search of a qualified candidate for the role of Business Operations Specialist III. This position plays a crucial role in enhancing operational efficiency and supporting financial processes.

Qualifications:

  • A Bachelor's degree accompanied by five (5) years of experience in an office setting, or ten (10) years of relevant experience in federal budget processes or contract administration.
  • Exceptional written and verbal communication skills, capable of engaging professionally in meetings and discussions.
  • Proficient in Microsoft Excel, including advanced functionalities such as pivot tables, formulas, and data connections; experience in database and spreadsheet management is essential.
  • Strong knowledge of Microsoft SharePoint, including the ability to create and manage document libraries, lists, and workflows.
  • Eligibility to obtain a secret clearance is required.

Key Responsibilities:

  • Evaluate current processes and recommend improvements to enhance operational workflows; update Standard Operating Procedures (SOPs) for the administrative unit.
  • Assist in the development of annual and mid-year financial plans; prepare data, reports, and draft justifications to support financial planning efforts.
  • Establish and maintain comprehensive spreadsheets to monitor and project funding allocations.
  • Prepare various budget and financial documents, including travel authorizations, vouchers, requisitions, reimbursements, and honoraria.
  • Oversee expenditure tracking, generate reports from financial systems, and prepare budget presentations and visual aids.
  • Create and manage spreadsheets and databases for tracking contract positions, including pending requests and time off.
  • Collaborate closely with the Contracting Officer Representative (COR) to fulfill contract administration duties.
  • Ensure the accuracy and currency of contract status documents; maintain the COR electronic filing system.
  • Develop and update reference materials, work instructions, and process flowcharts.
  • Handle sensitive information with discretion and confidentiality.
  • Provide programmatic support to various components and divisions within the organization.
  • Design dashboards to integrate diverse data sets and enhance data visualization.
  • Facilitate change management initiatives related to modernization efforts, including the transition to Microsoft 365 and the adoption of new reporting technologies.
  • Act as a liaison to other departments and stakeholders, addressing inquiries and resolving issues effectively.
  • Assess existing systems and processes, identify areas for enhancement, and propose efficient alternatives to supervisors or team leads.
  • Draft and revise Standard Operating Procedures (SOPs) for the administrative unit, ensuring alignment with current policies and practices.
